OFFICE ADMINISTRATIVE ASSISTANT
Job Description
Summary: Assist with general office tasks to include phone assistance, office supplies orders, scanning, filing, and small projects as assigned. Coordinate the bidding process for a mid-sized paving and sitework contractor. Build relationships with customers, subcontractors, and vendors while facilitating and improving an efficient sales system. Assist in other administrative areas, as needed.
Essential Functions:
- Answer and manage incoming calls and manage Star 2 Star system.
- Greeting Customers and visitors.
- Meeting/Event planning as needed.
- File, scan, fax, copy, print plans and reports and manage documents as needed.
- Sort mail and pick up mail.
- Inventory and order office supplies as needed.
- Assist in maintaining updated Insurance certificates for Vendors.
- Renovation incoming calls/outgoing estimates tracking spreadsheets.
- Perform other duties and responsibilities as assigned by the Supervisor.
- Assist with social media posts.
- Assist with Marketing programs as needed.
Estimating Department Assistance Functions:
- Assist with initiating the bid process (Bid file setup- as directed).
- Assist with qualifying new subcontractors/vendors – as directed.
- Assist with maintaining and updating the Bid Files-as directed.
- Maintain bid statuses updated (Active vs. Lost vs. Awarded) within Bidding software.
- Facilitate constant communication between Customer & Estimating Team.
- Continuously check GC/Municipalities websites for new solicitations.
Other Functions
- Miscellaneous purchasing.
- Assist other departments, when needed.
- Assist with special projects, as needed.
Job Requirements
- High School Diploma, GED, or the equivalent preferred.
- Prior office experience with multiple tasks.
- Valid Florida Driver’s License.
- Good communication skills.
- Ability to follow instructions well.
- MS Office proficient (Word, Excel, Outlook, PowerPoint).
