Position: Florida Executive Director
Classification: Exempt/Full-Time
Reports to: CEO/Chief Service Officer
JOB DESCRIPTION
Summary/Objective:
The Executive Director (“ED”) of the Florida Division will run the day-to-day operations of the Division. This position is responsible for all administrative tasks associated with the Division. The ED will assist the President and The Division Board of Directors. The ED will serve as a liaison to the RSPA network on a national, divisional, and regional level and to the divisional committees.
This position will be a full-time position requiring 35-40 business hours per week on average, and 2 - 4 traveling weekends per year. The ED is required to attend divisional board meetings, conference calls, Divisional Leaders Training Workshop, April Executive Committee meeting, and divisional convention, workshops, one day events, and the World Conference.
The Executive Director is an employee of the RSPA, not the Division. This individual will report to the RSPA CEO and Chief Service Officer.
Essential Functions:
Give directions to and coordinate with RSPA district organizations
Prepare agendas and minutes for meetings, conference calls and committees
Oversee divisional communications and dissemination of information throughout the division and general communities (quarterly newsletter, brochure, e-blast etc.)
Manage and maintain the division website
Responsible for all division public relations, media relations and promotional activities
Develop and manage yearly budgets and quarterly reports for the Division reporting to the national office
Required to annually manage the nomination submission for their respective division for the Division of the Year Award
Coordinate all Safe Play reports and follow through with emails/phone calls to ensure the Florida membership is striving to be certified
Attendance at RSPA meetings/events:
World Conference
Divisional Conference
Board conference calls
Board meetings
District/Sectional/state meetings
Division Leaders Training Workshop and April Executive Committee meeting
Monthly conference call with the RSPA CEO and other EDs
Conventions, workshops, and one day events:
Plan and execute arrangements for divisional conferences for board members.
Produce convention emails, brochures, fliers, digital advertising.
Coordinate travel arrangements for speakers.
Work/manage the entire registration process at events.
Plan divisional party at national conference.
Plan and execute arrangements for specialty courses.
Coordinate all fundraising activities and follow through with invoices and collections that includes major sponsors and vendors show sponsors.
Membership development:
Supervise, coordinate and implement all facets of membership development with the division board.
Work closely with all Coach Developers.
Generate membership reports using RSPA website.
Welcome letters to new and reinstated members. Reach out with personal phone calls.
Updates to district presidents on membership status.
Manage division expenses and submit quarterly expense reports and receipts to HQ within 5-10 days after the conclusion of any quarter.
Prepare an annual Division Budget.
Review Division bank accounts and investment accounts in coordination with HQ which shall have oversight and ownership of all bank and investment accounts.
Report to the board of directors monthly (cash reports, expense reports, financials).
Pursue and nurture partnerships with other racquets and sports organizations within the division to promote the growth of racquet sports and the RSPA (e.g., USTA, CMAA, IHRSA).
Newly hired ED’s are required to attend one training session at the RSPA World Headquarters within three months of employment.
Contact members who have not complied with their continuing education credits and make sure that they understand what has to be done to stay a member in good standing.
Other duties as assigned by the Division Board and RSPA National HQ.
Required Education and Experience:
Computer literate
Proficiency in Microsoft Office (Word, Excel, PowerPoint)
Effective written and oral communications skills
Public Relations experience using social media platforms
Experience creating newsletters
Experience planning and coordinating tennis events and conventions
Preferred Experience:
3 -5 years of experience in an administrative role
Racquet sports experience and knowledge
