Job Description
Summary:
The Accounting Assistant plays a vital role in maintaining the financial health of the company. This position involves handling various accounting and administrative tasks, including processing invoices, collections, order entry, as well as providing exceptional customer service. The Accounting Assistant will be responsible for ensuring accurate financial records and supporting the company's overall financial operations.
Key Responsibilities:
1. Invoice Processing
· Receive and review incoming invoices and expense reports.
· Match invoices with purchase orders and receipts for accuracy.
· Enter invoice data into the accounting system.
· Ensure invoices are properly coded and approved for payment.
· Resolve any discrepancies or issues related to invoices.
2. Collections:
· Contact customers with overdue accounts to arrange for payment.
· Monitor and manage accounts receivable, sending reminders and statements.
· Update customer records with payment information.
· Assist in resolving payment disputes and discrepancies.
3. Order Entry:
· Accurately input and process orders received from customers.
· Verify order details, pricing, and availability of products.
· Coordinate with the sales team to clarify any order-related questions.
· Maintain records of all orders, including changes and cancellations.
4. Phone and Email Correspondence:
· Professionally handle incoming phone calls and inquiries related to billing, invoices, and orders.
· Respond to customer inquiries promptly and resolve issues to ensure customer satisfaction.
· Collaborate with other departments to address customer needs.
5. Customer Service:
· Provide exceptional customer service by addressing customer concerns and inquiries.
· Assist customers in understanding billing statements and payment options.
· Maintain positive relationships with clients and resolve any issues effectively.
Qualifications:
· High school diploma or equivalent; additional accounting or business-related coursework is a plus.
· Proven experience in an accounting assistant role or similar position.
· Familiarity with accounting software and proficiency in data entry.
· Strong organizational and multitasking skills.
· Excellent communication and interpersonal abilities.
· Attention to detail and a commitment to accuracy.
· Basic knowledge of accounting principles and financial processes.
· Ability to work independently and as part of a team.
· Prior experience in customer service is beneficial.
· Familiarity with relevant software tools, such as Microsoft Excel and QuickBooks, is advantageous.
