Position Title: Accounting and Administrative Manager

Location: San Diego, California

Job Summary:

We are seeking a highly organized, detail-oriented, and proactive Accounting and Administrative Manager to oversee the financial and administrative operations of our professional accounting and legal firm. This individual will play a key role in managing day-to-day accounting functions, office administration, and ensuring the smooth operation of both our financial and administrative systems. The ideal candidate will have a background in accounting and finance, combined with strong administrative and leadership skills.

 

Key Responsibilities:

Accounting & Financial Management:

Oversee and manage all aspects of the firm’s financial operations, including accounts payable, accounts receivable, payroll, and general ledger.

Prepare, review, and analyze monthly financial reports, including balance sheets, income statements, cash flow statements, and budget forecasts.

Ensure compliance with all relevant financial regulations and laws.

Supervise accounting clerk who reconciles bank accounts and weekly AP.

Manage client billing, ensuring accuracy and timely invoicing for both accounting and legal services.

Responsible for Accounts Receivable collection.

Monitor and manage firm cash flow, collections, and payment processing.

Implement and maintain financial controls and procedures to ensure accuracy and integrity of financial data.

Administrative Management:

Supervise and coordinate administrative staff to ensure efficient day-to-day office operations.

Manage office budgets, procurement of supplies, and vendor relationships.

Oversee the firm’s administrative systems, including scheduling, file management, and internal communication processes.

Ensure all client files and records are maintained in accordance with firm policies and legal requirements, ensuring confidentiality and compliance with applicable laws.

Assist in HR functions, including onboarding, employee records, and benefits management.

Manage office leases, contracts, and renewal negotiations.

Technology & Process Improvement:

Work with IT personnel to ensure financial and administrative systems are up-to-date and functioning properly, including accounting software, CRM systems, and document management systems.

Identify areas for process improvement and implement best practices to improve operational efficiency within both the accounting and administrative departments.

Client & Partner Support:

Act as a liaison between partners, clients, and staff to ensure effective communication and timely delivery of services.

Prepare reports and analysis for partners on the firm’s financial status, forecasts, and operational metrics.

Ensure all client billing inquiries and issues are addressed promptly and professionally.

Compliance & Risk Management:

Ensure compliance with applicable federal, state, and local laws, including tax regulations and labor laws.

Assist in the implementation of internal policies and procedures related to accounting, administration, and office management.

Oversee insurance, licensing, and regulatory requirements, ensuring the firm’s operations are properly insured and in compliance with industry regulations.

Qualifications:

Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.

A minimum of 5+ years of experience in accounting and administrative management, preferably within a professional services firm (legal or accounting firm experience is a plus).

Strong knowledge of accounting principles, practices, and procedures (CPA certification is a plus).

Experience with accounting software (e.g., QuickBooks, Xero, or similar platforms) and Microsoft Office Suite (especially Excel).

Excellent organizational, leadership, and multitasking skills.

Strong verbal and written communication skills.

Ability to work in a fast-paced environment and manage multiple priorities.

Attention to detail and a high level of accuracy in managing financial and administrative data.

Experience in HR management and payroll processing is preferred.

Strong analytical skills and the ability to identify and resolve issues efficiently.

 

Working Conditions:

Full-time position, with occasional extended hours during peak periods (e.g., tax season or end of the fiscal year).

Work is typically performed in an office environment, with remote work flexibility as needed.
