Adecco Staffing is seeking a skilled Executive Assistant to join a reputable local travel agency. This role provides high-level administrative support to executives, managing schedules, coordinating meetings, preparing reports and presentations, handling confidential information, and acting as a liaison with both internal and external stakeholders. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask effectively in a dynamic environment.

Key Responsibilities:
  • Calendar & Schedule Management: Organize and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Meeting Coordination: Coordinate meeting logistics, prepare agendas, take notes, and distribute minutes.
  • Communication & Correspondence: Screen and manage all incoming communications for the executive, including calls, emails, and other correspondence.
  • Document Preparation: Draft, edit, and prepare various documents, including reports, correspondence, and presentations.
  • Stakeholder Liaison: Act as the main point of contact for internal and external stakeholders.
  • Project Management Support: Assist in managing executive-level projects, tracking deadlines, following up on action items, and reporting progress.
  • Travel Planning: Arrange detailed travel plans, itineraries, and agendas.
  • Event Coordination: Organize and coordinate events, meetings, and conferences.
  • Confidentiality Management: Handle sensitive information with strict confidentiality and discretion.
  • Policy Compliance: Ensure adherence to company policies and procedures.
  • Record Keeping: Maintain organized records and filing systems.
  • Expense & Budget Tracking: Manage expense reports, invoices, and budget tracking for the executive.
Qualifications:
  • Education: Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • Experience: 3+ years in an administrative or executive assistant role, with experience supporting senior leadership.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools.
  • Communication: Excellent written and verbal communication skills.
  • Organizational Abilities: Strong organizational, multitasking, and time-management skills.
  • Professional Discretion: Ability to handle confidential information with professionalism.
  • Work Style: Capable of working independently and collaboratively in a fast-paced environment.
  • Additional Attributes: Strong problem-solving skills, adaptability, high attention to detail, project management experience, and familiarity with travel planning and event coordination.

Pay Details: 30.00 per hour
