A highly successful entertainment company in LA is seeking an Executive Assistant. This position is responsible for providing day-to-day administrative support to the company Chairman and CEO.
Responsibilities to include, but not limited to:
· Manage executives' calendar and schedule meetings, follow-ups, and confirmations, both
internal and external, for all levels in various time zones.
· Monitor incoming calls and roll calls as needed.
· Anticipate needs and provides administrative support to the executive.
· Generate and distribute materials for meetings.
· Review and ensure executives' needs are met for any domestic and international travel.
· Maintain any files, contacts, including confidential and critical documents.
· Manage incoming mail and prepare outgoing correspondence.
· Process expense reports.
· Submit health insurance claims.
· Other adhoc projects.
Qualifications:
· 2+ years of Executive Assistant experience at an Entertainment company preferred.
· Strong interpersonal and communication skills.
· Ability to assess and determine priorities.
· Must be able to perceive when an issue is sensitive and handle appropriately.
· Experience within and knowledge of the entertainment industry.
· Ability to prioritize, manage, and track multiple tasks and action items simultaneously.
· Highly organized, proactive, and resourceful with problem-solving skills and a sense of
accountability.
· Ability to self-motivate and work independently, follow-up as needed, and see matters
through to completion.
· Maintain a high level of discretion, confidentiality, and professionalism.
· Interact with all levels
· Must remain flexible, adaptable, and efficient and anticipate the needs of the executive.
· Proficient in Microsoft Office
