Job Description
Morris & Dickson is looking for a highly organized and proactive Executive Assistant to join our executive team! In this essential role within the executive support staff, the Executive Assistant will facilitate the smooth operation of the Executive Office, enhance the efficiency of the leadership team's schedule, and contribute to the company's overall success. This position calls for a detail-focused professional with outstanding organizational skills, a solid grasp of executive calendaring, and a commitment to delivering excellent service promptly. The perfect candidate will be proactive, thorough, and proficient in multitasking.
Responsibilities
- Effectively manage leaders' calendars, appointments, and meetings.
- Ensuring optimal time utilization and seamless coordination with internal and external stakeholders, including identifying and resolving scheduling conflicts.
- Screen, prioritize, and manage communications, including phone calls, emails, and requests, while liaising between the Executive team and stakeholders to maintain effective communication channels.
- Prepare, edit, and format documents such as correspondence, presentations, reports, and contracts accurately. While ensuring all materials are organized and maintained according to company standards.
- Manage and coordinate complex travel arrangements for the Executive team, addressing any travel-related issues promptly and ensuring all itineraries are well-organized.
- Anticipate the Executive team's needs while managing the overall office environment. Continuously seek opportunities to improve administrative processes and support functions, staying informed about industry trends to enhance efficiency and effectiveness.
Qualifications
- A bachelor's degree in business administration, communications, or a similar discipline is preferred.
- A minimum of 5 years of experience in an executive support role, preferably within a corporate environment, is required.
- Must have outstanding organizational and time management abilities, with the capability to prioritize and manage multiple tasks efficiently.
- Proficient in the Microsoft Office Suite (including Word, Excel, PowerPoint, and Outlook) and other relevant software applications.
- Demonstrates a high degree of professionalism, integrity, and discretion when handling confidential information.
- Able to work both independently and collaboratively in a fast-paced setting.
- Demonstrates ability to foresee needs and take initiative.
