We’re looking for a detail-oriented Executive Assistant to join our team! In this important role, you will be responsible for the coordination, planning, operational support, and execution of all administrative functions for the Executive Staff.

Primary Duties:

· Provide confidential and discreet administrative and business support to the Executive Board and family relative to professional and personal matters

· Manage multiple calendars and complex schedules

· Makes decisions relative to complex and comprehensive domestic and international travel arrangements along with detailed itineraries

· Screen all incoming calls, reply to typical matters via emails and correspondence

· Arrange and confirm transportation arrangements and services for all travel including the overseas summer holiday

· Schedule meetings with all external contacts and internal employees

· Organize and handle personal notes, invitations and correspondence

· Welcome guests, vendors, customers, community leaders in person or on the telephone. Prepare and organize itineraries, meeting agenda and schedule

· Maintain filing for executive office

· Determine daily lunch menus and arrange for pick up or delivery

· Reserve conference rooms, define and confirm room-setups, audio-visual needs, transportation, catering and other requirements

· Respond to and support activities related to industry associations and charitable organizations

· Arrange and manage all details for any special projects

· Address requests of collectors who contact the Executive Board

Experience and Skills:

  • Intermediate Knowledge of Microsoft Office, Excel, Outlook
  • High School Diploma, College Degree Preferred
  • 3-5 Years’ Experience in Office Environment
  • Strong attention to detail
  • Able to multitask in a fast-paced, high-pressure environment
  • Able to meet deadlines
  • Excellent communication, delegation, follow-up, and team building skills
  • Ability to exercise independent discretion and judgment
  • Solid problem-solving and analytical skills
  • Must possess excellent interpersonal skills and work well under pressure
  • Punctual and reliable
