The Executive Assistant supports the President and his delegates. The EA is also responsible for enhancing the executive's effectiveness by performing a wide variety of complex, diverse, sensitive and confidential administrative functions while providing information management support.

The base salary range for this position is $100,000 - $140,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.

Position Summary & Overall Purpose:

JOB ACCOUNTABILITIES:
Primary responsibilities include the following:
- Manages daily calendars, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on sensitive matters and/or last-minute changes.
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executives' behalf.
- Responsible for greeting clients, fielding phone calls, reviewing incoming mail, managing office supplies and ordering client gifts.
- Coordinate all aspects of internal and external meetings including confirming all meetings and appointments, reserving meeting space, preparing the conference room with audio-visual technology, arranging for catering and compiling all necessary presentation materials.
- Arrange corporate travel including developing itineraries and agendas, booking transportation, and arranging lodging and meeting accommodations.
- Provide a bridge for smooth, accurate communication between the executives' office and internal departments, demonstrating leadership to maintain credibility, trust and support.
- Execute occasional marketing campaigns as directed by the executives in conjunction with the Marketing Department.
- Manage executives' departmental calendar, expenses and other Senior Level Managements' calendars when needed.
- Ensure data accuracy in company records by regularly and routinely updating business contacts, client and vendor information in our CRM (MOSAIC) and maintaining files according to company compliant procedures.
- Compile and modify presentations, spreadsheets, and other various documents at the executive's request.
- You will act as a role model for administrative professionals, providing mentorship and ensuring exceptional customer service both internally and externally throughout the organization.
- Handle all confidential business matters and work independently on special assignments.
- Handle personal matters as necessary.
- Provide miscellaneous administrative support to executive.
- Participate in regular departmental meetings and training and development sessions as directed.
- In depth knowledge of the Lenox platform and infrastructure (i.e. Lenox, NFP, MassMutual, MMLIS, LWA, LBIS)
- Can effectively navigate within Lenox, MassMutual, NFP for support/resources
- Proficient in Microsoft office(Outlook, Word, Excel, PowerPoint, and Teams), as well as Zoom
- Advanced Calendar Management skills
- Develops a high level of knowledge in navigating our internal Customer Relationship Management system (MOSAIC) including, but not limited to, entering new clients, keeping client data updated, policy record creation, task management, workspace management, populating arrays, and calendar management
- Ability to become highly proficient in navigating the Lenox Intranet
- Effective verbal and written communication skills; should be able to adapt communication style to suit different audiences

- Bachelor's degree or equivalent experience
- 7+ years of experience as an Executive Assistant, preferably in the Financial Services or Insurance industry
