Job Description
Location: Washington, D.C. (Hybrid - Requires three days onsite at the Washington, D.C. office with flexibility for additional in-office days based on business needs. The position is 40 hours per week, Monday to Friday, 9 am - 6 pm.)
Job Description Summary:
Our client is seeking an experienced Executive Assistant (EA) to support our partners by handling a range of administrative tasks and critical functions that drive partner success. This role involves business development, client relationship management, and contact oversight. As the partners' "right hand," the EA will manage daily schedules and operations proactively, anticipating needs, resolving issues, and ensuring seamless cooperation.
Key Responsibilities:
- Build and maintain positive relationships with Practice Group Partners, Associates, Paralegals, clients, administrative departments, and external vendors.
- Manage and prioritize a busy calendar, including scheduling meetings, events, and travel arrangements.
- Keep partners informed of their commitments and responsibilities, providing proactive follow-up and resolving scheduling conflicts.
- Prepare partners for daily activities and business travel, screening calls and requests to optimize efficiency.
- Compose and handle confidential correspondence with discretion and meticulous attention to detail.
- Manage documents by copying, scanning, and e-filing while adhering to confidentiality policies.
- Arrange detailed travel plans and itineraries, considering partners' preferences and guidelines.
- Effectively prioritize conflicting needs and ensure timely completion of tasks.
- Support business development and client maintenance by managing contacts, preparing pitch materials, and updating CRM databases.
- Assist with client billing by reviewing bills, responding to client inquiries, and monitoring collections.
- Take ownership of new tasks and special projects to enhance the partners' professional standing.
- Provide backup support to other partners or team members as needed.
- Seek and implement innovative methods and improvements in work processes to enhance collaboration.
- Represent the firm professionally at all times.

Requirements:
- Minimum of 5 years of experience supporting a law firm Partner or C-level Executive.
- Legal/law firm experience is required; regulatory experience is a plus.
- A bachelor's degree is preferred or relevant experience is acceptable.
Compensation and Benefits:
- Salary: $107,000 - $145,250, plus discretionary bonus.
