We are seeking a highly skilled, tech-savvy Executive Assistant to provide comprehensive support to our CEO. This role is designed for an experienced professional who thrives in a dynamic, fast-paced environment and has an exceptional ability to handle both professional and personal responsibilities with discretion and efficiency. The Executive Assistant will act as the primary gatekeeper for the CEO, managing communications, scheduling, and priorities while ensuring the CEO is well-prepared and informed on all matters.


Key Responsibilities:


Professional Support


Communication Management:

  • Manage and monitor the CEO's email inbox, responding to or redirecting inquiries as appropriate, and flagging high-priority items.
  • Draft, proofread, and edit emails, presentations, and reports.
  • Maintain a high level of confidentiality and exercise judgment in determining the urgency and relevance of issues.


Calendar and Scheduling:

  • Organize and maintain the CEO’s calendar, arranging meetings, appointments, and travel schedules.
  • Coordinate internal and external meetings, ensuring efficient time management and avoiding conflicts.
  • Proactively anticipate the CEO's needs and adjust schedules and priorities as necessary.


Meeting Preparation and Follow-up:

  • Prepare agendas, materials, and briefing documents for meetings, and record minutes when necessary.
  • Conduct research, gather insights, and provide summaries on relevant topics to ensure the CEO is well-informed.
  • Track action items and ensure timely follow-up.


Project and Task Management:

  • Assist in coordinating and tracking projects, ensuring deadlines and key deliverables are met.
  • Act as a liaison between the CEO and other teams, following up on action points and relaying updates.


Personal Support


Personal Calendar Management:

  • Oversee personal scheduling, including family commitments, personal appointments, and special events.
  • Coordinate travel arrangements, reservations, and itinerary planning for personal trips.


Personal Errands and Assistance:

  • Handle personal tasks and errands as needed, such as ordering supplies, coordinating household maintenance, or managing deliveries.
  • Assist with personal budgeting and expense tracking.


Household and Family Coordination:

  • Liaise with household staff, vendors, and service providers.
  • Organize and coordinate family-related events and activities, ensuring seamless logistics.



Key Qualifications:


  • Experience: Minimum of 5 years of experience in an Executive Assistant role, preferably supporting C-suite executives.
  • Education: Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • Technical Skills: Highly proficient in Google Workspace, Microsoft Office Suite, and project management tools. Familiarity with scheduling software and expense management platforms.
  • Communication: Excellent verbal and written communication skills, with a high degree of professionalism and discretion.
  • Organization and Time Management: Strong ability to prioritize, multitask, and manage multiple projects effectively under tight deadlines.
  • Adaptability: Flexible and able to pivot quickly, handling a mix of professional and personal responsibilities.
