This will include managing their calendars, prioritizing inquiries and requests, proactively troubleshooting conflicts, making judgments and recommendations to ensure smooth day-to-day engagements, drafting correspondence, collecting and preparing briefings or presentations for meetings, booking and managing travel logistics, and handling expense reporting and timesheet management.The Executive Assistant will maintain, track, analyse, and report on key data for senior management. Based on extensive knowledge of policies and procedures, the executive assistant will provide guidance in satisfying requirements. They will adapt processes and implement recommended practices to improve effectiveness. They will communicate on behalf of their supervisor and have substantial contact with stakeholders, including all levels of staff, donors, volunteers, vendors, and business relations.They will take on additional duties to enhance the team's work. Such duties may include, but are not limited to, a more significant role in training, developing documentation, and/or enhancing the team's systems and tools. Given our global team's time zones, they will also be able to work outside of work hours. You will be a contributing member of the operations team.WE'RE LOOKING FOR YOUWe're seeking someone who is proficient in Outlook management, has experience with logistics planning and leading of meetings and note taking, as well as experience in domestic and international travel i.e. visas, passports, travel booking, etc. The ideal candidate should be a team player with a positive attitude that is a quick learner and thrives working in a fast-paced environment. They are a multi-faceted individual capable of managing several ongoing priorities and an excellent collaborator and communicator.
