The individual must exhibit a high level of initiative and use excellent judgment when handling matters with limited guidance. The successful candidate must be able to work well in a team environment.

Responsibilities

  • Generate, prepare, and organize documentation and forms requisite to the Private Client Services department, such as wills, codicils, agreements, amendments, trusts, powers, designations, distribution provisions, etc.
  • Prepare certified excerpts of trust documents; assemble execution and post-ex documents and affix appropriate backing
  • Create, edit, and compile large, complex, heavily formatted documents as well as prepare correspondence, memos, and other legal documents from draft utilizing MS Word. Proofread all documents for accuracy and completeness
  • Open new client matters and request conflict checks. Generate new files and ensure filing is kept current
  • Prepare files to be closed utilizing proper records storage procedures
  • Maintain up-to-date listing of client/matter names and numbers for attorneys
  • Maintain attorney calendars by planning and scheduling meetings, teleconferences, and travel
  • Coordinate attorney travel schedules, transportation, and accommodations
  • Provide excellent telephone coverage, manage high call volume, and distribute messages in a timely and appropriate manner
  • Build client relationships by courteously communicating with clients and co-workers
  • Work as part of a secretarial team and provide assistance to attorneys
  • Assist in day-to-day duties such as faxing, filing, copying, messenger service, etc.
  • Demonstrate the highest level of confidentiality with client and attorney information
  • Prepare expense reports via Chrome River system and submit as appropriate
  • Enter attorney time and review entries in Intapp
  • Liaise with Client Operations team for Partner billing matters
  • Other projects and duties as assigned
Qualifications
  • Bachelor's Degree
  • 5-10 years of administrative or legal experience
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint), comfort with technology and ability to learn programs/software
  • Self-starter, extremely organized and detailed-oriented with a strong commitment to accuracy
  • Maintain composure in high-pressure situations and a fast-paced, multi-authority environment
  • Multi-task and manage priorities effectively
  • Discretion when dealing with confidential matters
  • Exceptional follow-up and follow-through skills
  • Available to work overtime as needed

This position will require physical presence in Proskauer's offices on a regular basis (at least 3x per week, or more, if it becomes the policy of the Firm or as business needs require). The anticipated compensation range for this position is $90,000-$105,000. The actual salary offered will be based on a number of factors including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
