Position Overview:
We are seeking a proactive and detail-oriented Executive Assistant / Office Administrator to support our leadership team and enhance the efficiency of our overall office operations. The ideal candidate will possess strong organizational skills, a passion for philanthropy, and the ability to thrive in a fast-paced environment. This role requires a problem-solving mindset and the ability to handle multiple tasks while maintaining a high level of professionalism.
This job is mostly remote but will require you to come to the office in-person a few times a month. This is a hourly position, 1099 employee, with the expectation of 30-40 hours / week.
Key Responsibilities:
- Administrative Support:
- Provide comprehensive administrative support to the President, including calendar management, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, and presentations as needed.
- Manage incoming communications, ensuring timely responses and prioritization of urgent matters.
- Office Management:
- Maintain office supplies, equipment, and facilities, coordinating repairs and maintenance as necessary.
- Implement and improve office processes to enhance efficiency and productivity.
- Project Coordination:
- Assist in the planning and execution of projects, events, and meetings, including logistics, budgeting, and post-event evaluation.
- Team Collaboration:
- Foster a positive team environment through effective communication and collaboration.
- Support the onboarding process for new team members and refreshers for existing team members by providing training on office procedures and resources.
- Research and Data Management:
- Maintain and organize files and databases, ensuring accurate record-keeping and accessibility of information.
