Executive Assistant Office Manager Job at The Phoenix Philanthropy Group in Phoe

Position Overview:
We are seeking a proactive and detail-oriented Executive Assistant / Office Administrator to support our leadership team and enhance the efficiency of our overall office operations. The ideal candidate will possess strong organizational skills, a passion for philanthropy, and the ability to thrive in a fast-paced environment. This role requires a problem-solving mindset and the ability to handle multiple tasks while maintaining a high level of professionalism.

This job is mostly remote but will require you to come to the office in-person a few times a month. This is a hourly position, 1099 employee, with the expectation of 30-40 hours / week.

Key Responsibilities:

1. Administrative Support:
   1. Provide comprehensive administrative support to the President, including calendar management, scheduling meetings, and coordinating travel arrangements.
   2. Prepare and edit correspondence, reports, and presentations as needed.
   3. Manage incoming communications, ensuring timely responses and prioritization of urgent matters.
2. Office Management:
   1. Maintain office supplies, equipment, and facilities, coordinating repairs and maintenance as necessary.
   2. Implement and improve office processes to enhance efficiency and productivity.
3. Project Coordination:
   1. Assist in the planning and execution of projects, events, and meetings, including logistics, budgeting, and post-event evaluation.
4. Team Collaboration:
   1. Foster a positive team environment through effective communication and collaboration.
   2. Support the onboarding process for new team members and refreshers for existing team members by providing training on office procedures and resources.
5. Research and Data Management:
   1. Maintain and organize files and databases, ensuring accurate record-keeping and accessibility of information.
