Executive Administrative Assistant

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. The Executive Administrative Assistant will assist the CEO and other office staff to carry out the business of the company by providing clerical and research support services including document preparation and review; research, and other general administrative tasks as needed.

The successful candidate is an energetic professional who doesn’t mind wearing multiple hats and working in a fast-paced, high-pressure environment.  Experienced in executive support-related tasks and handling a wide range of administrative duties, able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting the CEO and other staff. This is a small office, and all employees will be expected to be part of the team.

Administrative Assistant Responsibilities:

  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Screening phone calls and routing callers to the appropriate party.
  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
  • Represents CEO by communicating on their behalf and obtaining information, following up on delegated assignments, and knowing when to act and when to refer matters to the CEO.
  • Prepares, organizes, stores, and retrieves project files, and other items.
  • Composes letters and routine correspondence using Microsoft Office programs.
  • Provides administrative support for the office and maintains electronic and hard copy files.
  • Performs other related duties as assigned.

Executive Administrative Assistant Requirements:

Associate’s Degree in a related field.

Prior administrative experience.

Excellent computer skills and proficiency in Microsoft Office Software

Attention to detail.

Desire to be proactive and create a positive experience for others.

Salary: $18.00 - $23.00 per hour
