SPECIFIC JOB DESCRIPTION:

This position is located in the Office of the DoD Chief Information Officer. Successful candidates will be an organized self-starter capable of performing tasks without the need for constant oversight and experience successfully working in a team environment. Routine tasks include calendar scheduling and oversight, suspense tracking, workload prioritization, communications, word processing and correspondence management to support the OSD mission. Specific duties will include:

  • Assist government personnel with administrative systems, file systems, records management and read ahead binders
  • Manage calendar and schedule to adjust for short notice changes and/or higher priority tasks
  • Operational duties related to human resources, IT, security, and facilities management:
    • Answering and routing phone calls and greeting/escorting guests
    • In-processing new personnel (DD1172, DD2249, DD2875)
    • Requesting and managing all government furnished equipment for new employees
    • Suite access, SCIF maintenance, and burn bag destruction
    • Resolution of IT and network issues
    • Off-boarding departing personnel
  • Review correspondence documents to the appropriate offices and/or personnel for response through the Correspondence and Task Management System (CATMS)
  • Develop, monitor, update, implement, and maintain an internal suspense tracking system for correspondence, memos, letters and other documents and projects received
  • Provide written products in accordance with DoD 5110.4-M Vol 1 DoD Manual for Written Material: Correspondence Management and DoD 5110.4-M Vol 2 DoD Manual for Written Material: Examples and Reference Material
  • Other responsibilities and duties as assigned

THIS POSITON REQUIRES ON-SITE work.

EDUCATION:

  • Bachelor’s degree plus at least 5 years of related experience or HS Diploma with at least 9 years of related experience

SKILLS AND EXPERIENCE:

  • Top Secret clearance with SCI required at date of hire
  • Expert level knowledge and execution of the English language for the formulation of all DoD correspondence mediums, (e.g, email and memos)
  • Demonstrated experience supporting in an Office of the Secretary of Defense (OSD)/Joint Staff/Interagency environment
  • Knowledge of the structure and missions of the OSD and the Components
  • Highly proficient with the Microsoft Office Suite of applications, especially Word, PowerPoint, and Teams
  • Demonstrated experience and ability to work in a fast-paced team environment, adapt to rapidly changing requirements, and multi-task capabilities.
