The ideal candidate will provide top-level administrative support to our CEO and senior executives, ensuring efficient operation and communication within the executive office. This role demands a high level of confidentiality, professionalism, and the ability to multitask in a fast-paced environment.
### **Key Responsibilities:**
- **Administrative Support:**
- Manage and maintain executive schedules, including arranging meetings, appointments, and travel itineraries.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle incoming calls and correspondence, responding as necessary or directing them to the appropriate person.
- **Meeting Coordination:**
- Organize and coordinate meetings, conferences, and off-site events.
- Prepare agendas, take minutes, and follow up on action items.
- **Communication:**
- Serve as a liaison between the executive office and internal/external stakeholders.
- Draft and manage email communications and ensure timely responses.
- **Document Management:**
- Maintain an organized filing system for paper and electronic documents.
- Ensure the confidentiality of sensitive information.
- **Project Management:**
- Assist in the planning and execution of special projects.
- Track project timelines, deliverables, and report on progress.
- **Financial Administration:**
- Process expense reports and reimbursements.
- Assist in budget tracking and reporting.
**Qualifications:**
- **Education and Experience:**
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Minimum of 3-5 years of experience in an executive assistant role or similar administrative position.
- **Skills and Competencies:**
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office management systems and procedures.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
- Proactive approach to problem-solving with strong decision-making capability.
