Job Duties:
This position works in the Continuing and Professional Education unit of the Office of Innovation and Engagement and reports directly to the director for Continuing and Professional Education. The primary responsibility of this position is program development and management, support services, and day-to-day operations support for Continuing and Professional Education programs. The position will contribute to increasing enrollment and revenue and provide support services for adult learners in a variety of ways. Using advanced communication and writing, problem-solving, and working independently, this position will manage multiple responsibilities, complete assignments in a timely and accurate manner, and maintain electronic and paper records. This position will use excellent interpersonal skills, a solutions-oriented approach, and collaborative, team-oriented attitude to effectively manage activities with faculty, learners, staff, administrators, community members, and the general public. This position will apply substantial knowledge of CPE and ECU policies and procedures to the daily operations of the office, interactions with faculty, staff, learners, and community members, and in the analysis of situations and decision-making. Providing excellent customer service is a critical component of customer satisfaction and success. The University Program Specialist will provide timely, courteous, solutions-based customer assistance for all CPE programs. This customer service includes answering the phones, monitoring, and answering the departmental email accounts, accepting payments for courses, providing customer service at in-person events, and developing and maintaining relationships with clients and supporters. Will work occasional evenings, weekends, and overnight travel as needed.
This position performs the following duties:
Communication & Marketing – 15%
Update and maintain CPE and LLP websites including course and program information Manage CPE and LLP social media including programming announcements and scheduling Communicate with CPE and LLP stakeholders regarding program, course, or event planning details as needed Develop and design informational and program communication for CPE and LLP Cultivate professional relationships with all levels of the program/organization, internal and external Consultation – 20%
Manage program scheduling and delivery Identify qualified instructors and program partners for the scheduling and delivery of programs Consult with existing and/or potential instructors on designing/structuring courses Consult with non-curricular continuing education program oversight committee on course approvals and scheduling Leadership – 20%
Develop and manage plans for CPE and LLP programming Consult regularly with director of CPE to provide reporting necessary to make strategic decisions to grow and sustain programming Develop and implement short-term strategies to promote, advance, and sustain the CPE catalog as well as enhance LLP courses Program Administration – 45%
Educational program planning and implementation Client communication and program development Coordinate program scheduling and delivery Schedule development of online enrollment and course registration Enrollment reporting and data management Management and support for Canvas online courses Provide budget summaries and reconciliations for programs Manage enrollment and course registration processes including utilization of learning management and customer relationship management systems Plan and assign work of student employees Research and conduct needs assessments to better market continuing and professional education opportunities to adult learners within eastern North Carolina and other regions Develop assessment tools and conduct marketing evaluation for CPE and Lifelong Learning Program (LLP) Manage several multi-faceted programs in their entirety Coordinate technology required for course delivery Provide assistance as needed with answering CPE & LLP phones Provide accurate information regarding CPE & LLP programs to callers and visitors Assist program event set-up & breakdown Assist with event check-in/registration including managing petty cash and credit card machines Generate receipts and/or invoices to participants Maintain PCI compliance Take program registrations and payments from callers or visitors Assist with printing program materials, preparing folders, name tags, and rosters Travel to off-campus programs sites as needed Assist with loading and unloading of equipment at program site Contingent upon availability of funds.
