The Student Union, Inc. is a 501(c)(3) nonprofit auxiliary that maintains three major facilities at San José State University in downtown San José, California. These facilities include the Diaz Compean Student Union Building, the Provident Credit Union Event Center, and the Spartan Recreation and Aquatic Center.

Job Summary The Operations Manager, Event Center provides for the overall events and program operations, scheduling, and utilization of Provident Credit Union Event Center based on the Scheduling Guidelines approved by VPSA, Athletics Director, and CFO. Responsibilities include event booking and scheduling, facility management, event management, supervision of facility and equipment, reporting and submitting work orders for maintenance and repair, custodial services managed by FDO. The position reports to, and receives general supervision and direction from the Executive Director.

Duties and Responsibilities

Under general supervision, assists Director of the Event Center with service requirements for events to include venue prep, strike, conversions, cleaning, parking, security, ushering, public safety, medical and any other contracted and non-contracted services.

Assists the Director of the Event Center with the day-to-day programming and operation of Provident Credit Union Event Center.

Keeps accurate records of days and times for practices, game day operations, staffing hours, and vendor; assist the Director with event settlements.

Works with Technical Production staff on coordination of operations and production requirements for each event to include advancing events as assigned by the Director.

Performs regular facility inspections, coordinates any maintenance needs and repairs with Facilities, Development and Operations (FD&O).

Direct supervision and oversight for the Student Operations Supervisors.

Ensures coordination with outside service contractors and vendors as appropriate to meet programming and customer needs.

Assist the Director on Risk Management with establishing safety policies, procedures, including the development, training and administering of the EAP.

Insures all staff CPR, First Aid, forklift, certification for staff and maintains files with HR.

Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

Adheres to compliance laws, policies and codes related to not-for-profit corporations, facility safety and concerns, as well as state and CSU mandates.

Implements procedures to identify and correct potentially hazardous or unsafe working conditions. Mitigates risk where appropriate through knowledge of policies and procedures.

Knowledgeable in all aspects of event management and public assembly in an arena environment.

Works with the contractors and FD&O to coordinate and oversee daily and event custodial services.

Ability to effectively communicate, written and verbally, and interact with a variety of venue clients including guests, event presenters, operational personnel, on-campus departments, third-party subcontractors, supervisors, co-workers, and employees.

Demonstrated high level of confidence in making strategic decisions, good judgment, and innovative and creative problem-solving skills.

Strong organizational skills and ability to coordinate, organize and prioritize projects with attention to detail.

Outstanding organization and communication in both written and verbal skills and the ability to work collaboratively and strategically with a broad spectrum of contributing groups and administrative units throughout campus.

Demonstrated experience in planning and effectively executing events.

Demonstrated supervisory experience including selecting, training, coordinating, evaluating, and supervising full-time and student employees with a commitment to professional and student development core competencies.

Knowledge of safety procedures and protocols including risk management practices and procedures, and a comprehensive approach to program and event oversight.

Ability to work evening and weekend hours.

Willingness to support the Mission and Core Values of the Student Union corporation.

Experience in computer applications such as: Google Suite (Gmail, Docs, Slides, Sheets, Forms, etc.) Microsoft Office (Word, Excel, PowerPoint, etc.).

Physical Demands of Work Environment

The position works in a wide variety of environments including both a typical office as well as an indoor facility and outdoor aquatic program-oriented environment.

The physical demands of this position are described below:

Sitting, walking, twisting, bending, climbing, pulling, pushing, squatting, crawling, kneeling, balancing, reaching, and coordination (eye, hand, foot).

Fall (Slip, Trip) Conditions that result in falls (impacts) from height or traditional walking and playing surfaces.

Heat illness/temperature extremes that result in heat stress, exhaustion, or metabolic slow down such as hypothermia.

Chemical exposure - absorption through the skin, inhalation, or through the bloodstream that causes illness, disease, or death.

Lifting and carrying, often 10-25lbs, frequently 26-50lbs, occasionally 50-75 lbs.

Hearing and speaking to exchange information in person or on the telephone.

Dexterity of hands, fingers, and wrist to operate a computer keyboard and calculator.

In general, the position works a schedule based on business needs 12 p.m. - 8 p.m., Sunday - Thursday, may work evenings, weekends and holidays as required.

Minimum Qualifications

Bachelor’s degree in Event or Sport Management, Theater Arts, or related field.

2 Years of experience in event management and event security in an arena setting.

2 Years of staff supervisory experience, preferably in a college/university setting.

Master’s degree in Event or Sport Management, Theater Arts, or related field.

3 years of experience working in an arena setting.

Experience in a large, non-profit corporation.
