Job Summary:

The Accounting Supervisor will oversee daily accounting operations within our staffing firm, ensuring accurate and timely financial reporting. The role includes supervising a team of accounting staff, maintaining compliance with company policies, and assisting with audits and financial forecasting. The ideal candidate will have experience in accounting within the staffing or service industry and be comfortable managing payroll, client invoicing, vendor invoicing, vendor time capture, AR collections, commissions calculations, and budget oversight.

Key Responsibilities:

  1. Supervision of Accounting Team:

    • Lead, mentor, and supervise a team of accounting clerks and specialists.
    • Assign tasks, review work, and provide feedback to ensure the team meets deadlines and maintains accuracy.
    • Support staff development through training and performance management.
  2. Financial Reporting:

    • Prepare and review financial statements, including balance sheets, income statements, and cash flow reports.
    • Ensure accuracy and compliance with GAAP (Generally Accepted Accounting Principles).
    • Assist with the preparation of monthly, quarterly, and annual financial reports for senior management.
  3. Payroll and Invoicing:

    • Oversee payroll processes for internal staff and temporary employees, ensuring accurate and timely payment.
    • Manage client invoicing, collections, and resolve discrepancies or disputes as necessary.
    • Collaborate with sales and recruitment teams to align financial practices with contract terms and client agreements.
  4. Budget and Forecasting:

    • Assist in the preparation of the annual budget and financial forecasts.
    • Monitor actuals vs. budget and provide variance analysis.
    • Identify areas for cost savings or process improvements.
  5. Audit and Compliance:

    • Support external audits, ensuring documentation and financial records are in order.
    • Maintain compliance with all local, state, and federal tax regulations.
    • Ensure proper internal controls are in place and regularly monitored.
  6. Process Improvement:

    • Identify and implement improvements in accounting processes and systems to enhance efficiency.
    • Stay updated with accounting best practices and industry trends to recommend changes.
  7. Collaboration and Communication:

    • Collaborate with other departments (e.g., HR, Sales, Operations) to support business goals and maintain alignment on financial objectives.
    • Provide financial insights to management to assist in decision-making.

  8. Accounts Receivable (AR) Collections:

    • Supervise the AR team to ensure timely collection of outstanding invoices from clients.
    • Review aging reports regularly and develop strategies to minimize delinquent accounts.
    • Implement collection procedures and collaborate with the sales team to resolve payment delays or disputes.
    • Monitor AR performance metrics and recommend process improvements to enhance collection rates.
  9. Commissions Calculation:

  • Manage the accurate and timely calculation of sales commissions for internal recruitment and sales teams.
  • Ensure commission structures align with staffing contracts and company policies.
  • Collaborate with sales managers to address any commission disputes or adjustments.
  • Provide detailed commission reports to senior management for review and decision-making.

Qualifications:

  • Education: Associates degree in Accounting or Finance.  Employer will consider comparable work experience.

  • Experience:
    • 3-5 years of accounting experience, preferably within a staffing or service industry.
    • At least 2 years in a supervisory or leadership role.
  • Technical Skills:
    • Proficiency in accounting software (e.g., QuickBooks) and Microsoft Excel.

    • Experience with payroll software and systems (ADP, Paychex, etc.).
  • Soft Skills:
    • Strong leadership and team management skills.
    • Excellent organizational and communication skills.
    • Problem-solving mindset with a focus on process improvement.
