Description of Role:
The Part-time Admin/Accounting Assistant is responsible for providing support across multiple business lines, supporting the administrative staff and typically involves working with company sensitive, confidential and/or proprietary information with discretion.
Responsibilities:
- Provide administrative support to the construction management staff and owners.
- Assist with event planning, research, purchasing, and offsite setup and coordination.
- Strong command of grammar and punctuation while editing documents such as letters, memos, meeting minutes and spreadsheets to ensure composition, contextual accuracy, and layout.
- Knowledge of construction job cost accounting is a must
- Collect and maintain Subcontractor required documentation
- Understanding of Lien Waivers, Texas Lien Law and Pay Day Law
- Coding, data entry, and reconciliation of credit cards and bank accounts
- Verify supporting documentation for daily invoice processing, to include reviewing invoices for accuracy, appropriate approval, and general ledger/cost coding.
- Investigate and reconcile vendor statements, resolving outstanding aging invoices in a timely manner.
- Administrative Duties - including but not limited to: scanning, filing, taking calls, assisting in other departments
- Assist and complete small projects given and help with directed process improvements
- Full bookkeeping for Blue Fin Design and Development companies
- Credit card coding, data entry and reconciliation for all accounts
- Maintain and submit credit applications
- Bank reconciliations for multiple accounts
- Process AR/ AP and state filings for other single purpose entities
- Assist project team with job related duties as needed
- Help maintain HR portal including but not limited to recruiting, employee onboarding and access portals, HR company calendar and PTO.
Skills & Requirements:
- High school diploma or equivalent required
- 2 years plus of relevant work experience
- Strong organizational skills and attention to detail
- Proficient in Microsoft Office, Dropbox, email, etc.
- Excellent verbal and written communication skills
- Ability to multitask and prioritize tasks effectively
- Professional demeanor and positive attitude
- Ability to work independently and as part of a team
- Must be reliable, punctual, and have a strong work ethic and be able to work with minimal supervision
Work Schedule:
Monday - Friday 25-30 hours a week
