Position Overview: The Billing and Accounts Assistant will play a crucial role in maintaining accurate financial records, authorizing advanced imaging and procedure exams through insurance, and supporting various accounting functions. As well as some registration desk coverage and work with our patient relations. This role requires attention to detail, strong organizational skills, and the ability to work effectively in a fast-paced environment.
Key Responsibilities:
- Billing: Prepare insurance claims and information ensuring accuracy and adherence to company policies. As well as documenting information in appropriate areas.
- Accounts Payable: Monitor and follow up on outstanding invoices, manage collections, and daily duties of financial reporting and other tasks as assigned.
- Authorization of exams: Working to acquire authorization of studies, procedures, and other exams in McGinley Clinic, Elite Imaging, OrthoNow, and any other facility applicable.
- Starting new authorizations
- Following up on authorizations in progress
- Managing Peer to Peer requests
- Appropriate entry of authorization status within patient chart and other areas of necessity
- Data Entry: Accurately input financial and clinic data into accounting or Electronic Medical Record software and maintain updated records. Maintaining patient schedules to verify procedures.
- Confirming all procedures have notes for authorizations
- Checking that all procedures and imaging studies have authorization completed
- Reviewing that all CPT procedural codes are applied where necessary
- Expense Tracking: Review and process expense reports, ensuring compliance with company policies.
- Customer Service: Working to ensure patients and clients are treated with respect and courtesy. Supporting the billing and accounting management in needs necessary to facilitate the expected care and resolution of items that may arise.
- Documentation: Maintain organized filing systems for invoices, receipts, and other financial documents.
- Compliance: Ensure all transactions comply with relevant financial regulations and company standards. Making sure that ALL financial transactions and business remain confidential per company standards.
- Support: Provide general support to the finance team and assist with other accounting tasks as needed, and other duties as assigned.
- Medical receptionist duties(as needed per demand in clinic):
- Greet and check-in patients in a friendly and professional manner
- Schedule and confirm appointments using the clinic EMR
- Answer phones and respond to inquiries or direct patients to the appropriate department
- Maintain patient records and update medical information as necessary
- Verify patient insurance benefits and collect payments from patients
- Follow HIPAA guidelines to ensure patient confidentiality
- Assist with administrative tasks such as filing, faxing, and scanning documents
- Collaborate with medical staff to ensure smooth patient flow and efficient operations
- Float and cover for other medical reception desks as needed
Qualifications:
- Education: Associate’s degree in Accounting, Finance, or related field preferred; equivalent work experience will be considered.
- Experience: Previous experience in billing, accounts receivable, or a related role is advantageous.
- Skills:
- Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word).
- Strong numerical and analytical skills with attention to detail.
- Excellent organizational and time-management abilities.
- Effective communication skills, both written and verbal.
- Personal Attributes: Reliable, proactive, and able to work independently as well as part of a team.
- Must have prior Covid-19 vaccination or willing to receive prior to start date
