Job Description

Position Overview:

The Executive Assistant plays a vital role in supporting KIPP Kansas City's executive leadership by managing schedules, communications, and project coordination. This role requires a highly organized, detail-oriented, and proactive individual who can handle a fast-paced environment and represent the organization with professionalism and efficiency.

Key Responsibilities: Administrative Support Manage the executive's calendar, coordinating meetings, appointments, and events with a focus on maximizing efficiency and ensuring alignment with organizational priorities. Serve as the primary point of contact between the executive office and internal/external stakeholders, handling inquiries, relaying messages, and facilitating communication. Arrange travel logistics, including booking flights, accommodations, and transportation, as well as preparing detailed itineraries. Prepare, edit, and proofread correspondence, reports, presentations, and other documents on behalf of the executive team. Ensure timely follow-up on action items and assist in prioritizing tasks and projects for the executive(s).

Meeting and Event Coordination Organize and manage logistics for meetings, including scheduling, preparing agendas, coordinating AV/IT needs, and taking minutes. Coordinate and support team events, retreats, and off-site meetings, handling all logistics such as venue selection, catering, and agenda planning. Prepare materials for meetings and presentations, ensuring all information is accurate, relevant, and accessible.

Communication and Relationship Management Foster strong working relationships across the organization and with external partners, acting as a professional representative of the executive office. Handle confidential information with integrity and discretion, safeguarding sensitive organizational data. Draft, proofread, and send communications on behalf of the executive team, ensuring alignment with organizational tone and messaging.

Qualifications

Qualifications:

Bachelor's degree preferred but not required; equivalent work experience considered. Minimum of 3-5 years of experience in an executive or administrative support role, preferably in an educational or nonprofit environment. Skills and Competencies:

Reports to work Monday-Friday and some weekends. A typical school or office environment with frequent interruptions. Travel Requirements:

Salary is based on years of experience, educational background, and level of expertise.
