Administrative Assistant - Adult Literacy Program

I. SPECIFIC RESPONSIBILITIES include but are not limited to
Answer phones, respond to all inquiries, and directing calls as appropriate. Provide applicants with information about the different services and set up appointments when appropriate. Manage ESL classes waiting list, reaching out to students to set up appointments Assist ESL Program Coordinator with translation, intakes, and orientations, reaching out to students, completing intake and other forms Perform data entry in various databases Assist with clerical functions including, but not limited to; typing letters, forms, and other documents, mailing, scanning, filing and retrieving files, organizing files, phone follow-up with students, and with other functions as needed. Organize and file students' folders. Retrieve folders as needed Perform other duties as assigned II. QUALIFICATIONS
Bilingual Spanish/English (required) Strong customer service skills (i.e. responding to phone calls, responding to all inquiries at the front desk, setting up appointments, etc.) Ability to learn quickly and be interested in developing a variety of new skills; be able to manage multiple tasks and meet deadlines; have the ability to work independently and as part of a team. Superior organizational, interpersonal, and communication skills; demonstrated experience in written and oral communication skills. Ability to handle confidential information Ability to take initiative and ownership of duties and processes High school diploma is required; some college preferred Strong computer skills: Microsoft Word, Excel, internet Flexibility to adapt to program changes and needs Some evening hours and travel between sites will be required III. RELATIONSHIP WITH OTHERS
Build and maintain close, daily interactions with co-workers and supervisors Effectively communicate with outside agency staff Forge mutually respectful partnerships with persons served and their families Have a strong sensitivity to cultural differences present among staff and clients within our organization. Possess a strong belief in people's ability to grow and change IV. WORKING CONDITIONS
Actively engage and interact with clients, coworkers, and outside agency staff Fast-paced, high-energy environment Work primarily in an office setting Considerable time is spent at a desk using a computer May also attend various meetings with different personnel and supervisors
