GENERAL DESCRIPTION
Serve as an office coordinator and perform various administrative duties.
ESSENTIAL FUNCTIONS
Office Management:
Track and manage office and lab materials. Maintain office space: clean as needed and keep supplies stocked. Communicate with maintenance, fire department, and pest control. Track necessary permits and documents for tax, environment, and fire departments. Manage security camera and HVAC systems; back-up security footage daily. Update office manuals and databases as needed. Administrative Support:
Process and verify incoming invoices. Coordinate payments with Accounts Payable departments in other states' group companies. Submit and organize Purchase Orders using SAP. Enter details into the company system and track email receipts. Respond to client/vendor emails. Handle internal order procedures. Logistics and Coordination:
Prepare export documents for international shipments. Prepare documents and sample materials for shipping. Welcome and check-in visitors, notifying relevant personnel. Support office expansion: assist with construction orders and coordinate with contractors. Prepare for equipment installation: coordinate with vendors and confirm diagrams. Handle sample shipments (max: 500g), including packing and shipping (no driving). Arrange accommodations and meals for visitors from Japan. Coordinate regular inspections (quarterly). Expense Budget Management:
Support managing expense budget for three group companies' locations. Conduct monthly inspection checks and forecast expenses. Compile annual expense budgets. QUALIFICATIONS
Experience as an Administrative Assistant. Experience as an expense budget management support role (at least 1 year). Strong Excel Skills. Proficiency in reading, writing, and speaking English and Japanese. Detail-oriented and organized. Experience with SAP is a plus.
