Overview
The Administrative Assistant II plays a vital role in ensuring efficient office operations and providing comprehensive administrative support to the team. This position is required to maintain effective communication, manage schedules, and coordinate tasks that enhance productivity. The Administrative Assistant serves as the first point of contact for both internal and external stakeholders, making their ability to represent the organization professionally critical. Key Responsibilities
  • Manage daily office operations and procedures.
  • Coordinate meetings, appointments, and travel arrangements for teams.
  • Maintain filing systems and ensure accurate record-keeping.
  • Prepare meeting agendas, minutes, and other documentation.
  • Assist in budgeting and tracking expenses.
  • Respond to inquiries through phone, email, or in-person professionally.
  • Build and maintain positive relationships with clients and colleagues.
  • Process incoming and outgoing mail and packages.
  • Prepare and edit correspondence, reports, and presentations.
  • Assist in onboarding new team members.
  • Manage office supplies inventory and procurement.
  • Utilize software for data entry and tracking.
  • Support special projects as assigned by management.
  • Ensure compliance with organizational policies and procedures.
  • Perform other administrative tasks as necessary.
Required Qualifications
  • Associate degree in Business Administration or related field.
  • Minimum of 3 years experience in administrative support.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong familiarity with office equipment (fax, printer, copier).
  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks effectively in a fast-paced environment.
  • Strong analytical and problem-solving abilities.
  • Experience with scheduling software or tools.
  • Familiarity with bookkeeping or basic accounting principles.
  • Ability to work independently and as part of a team.
  • Strong customer service orientation.
