Administrative Coordinator

Our client is a global financial services firm in more than 30 cities, and manages more than $7 billion in capital commitments. We are seeking a professional Receptionist that will also have some administrative support duties to support 3 principals. The role is 4 days in office and 1 day work from home.


Duties:

  • Greeting visitors: Welcoming visitors and registering them at the front desk
  • Answering phones: Answering and directing phone calls to the appropriate person or department
  • Scheduling appointments: Scheduling and confirming appointments, meetings, and events
  • Administrative tasks: Performing administrative tasks such as filing, data entry, photocopying, and document preparation
  • Administrative support: Supporting 3 principals in calendaring support, travel and small scale event coordination on an as needed basis
  • Managing mail: Managing incoming and outgoing mail and packages
  • Maintaining the front office: Maintaining a clean and organized front office area
  • Providing customer service: Providing preliminary customer service, including handling complaints and forwarding queries to relevant departments
  • Supporting other departments: Providing general support to other departments as needed
