This role of Administrative Client Coordinator is considered an essential position within the organization. The Administrative Client Coordinator reports to the Director of Administration and is responsible for supporting the Administration Department in all aspects of administrative tasks associated with managing IPAs and Fiscal Intermediary clients including planning, scheduling and preparation for numerous meetings, facilitating communication between client groups and AMM Management, providing customer service as needed, and interfacing with AMM departments to satisfy the operational needs of the client and troubleshoot reported problems. This individual is also responsible for maintaining the organization and integrity of AMM Administration department files and universal classification of vital records. This is not a routine position as it requires energy, enthusiasm, and the desire to give 5-star quality service.
The right candidate should have confidence in their abilities as a problem solver and have the poise to execute solutions in a timely fashion. Good time-management skills are essential.
Primary Responsibilities
- Record, research and provide rapid response to Provider, Member, Agent or Health Plan inquiries, problems and complaints copying the Director of Administration on all correspondence with the Client Provider and/or member.
- Creates and posts client reports as scheduled or on demand.
- Works on projects assigned by Director of Administration including research, data pulls, preparation of marketing materials and other informational items.
- Assists in the planning of meetings and events including travel planning for company executives.
- Assists in the preparation of meetings, which may include IPA Meetings, Client JOM’s, Health Plan JOC’s, Marketing meetings, and other meetings or events as assigned. Some of these meetings will likely occur after-hours and off-site. Assist in preparing agendas, reports, power points and other presentations, record meeting minutes, delineate action items and monitor follow-up in conjunction with the Director of Administration and AMM Executives.
- Organizes and maintains the integrity of all Administration records including meeting minutes, rosters, correspondence, and all other documentation and reporting the department is obligated to maintain.
- Any or all other tasks assigned by the Director of IPA Administration
Required Skills and Abilities
- Minimum two years’ experience in an Administrative Assistant role preferably in a health care related setting with emphasis on managed care preferred.
- Bachelor’s Degree in health care administration or related field from an accredited university preferred.
- Familiarity with all aspects of business operations, ability to multitask and complete tasks and assigned projects within time constraints given.
- Have a working knowledge and understanding of Health Care delivery systems, Managed Care, IPA operations, Health Care benefits, Health Insurance products, Medicare, MediCal and Medical Practice operations preferred.
- Attention to detail and accuracy in all aspects of work.
- Must be computer literate and knowledgeable in all Microsoft Office products.
- Effectively interface and work collaboratively with internal staff, and various business partners including IPA physicians, Public Health agencies, Health plans, hospitals, and health care providers and staff.
- Demonstrate positive attitude and work ethic as well as superior communication, interpersonal, and time management skills. Must be able to assist in presentations and formal meetings, write business letters and effectively use email to communicate complex ideas.
- Valid driver’s license and/or dependable transportation to work off and on-site are necessary.
- Understanding of EMR systems and IPA management software preferred.
