Position Information:
BreakForth Solutions is seeking an Administrative Support Specialist to join our team of dynamic professionals. This is a unique position that will support multiple functions. This candidate will be primarily responsible for providing part-time operational and administrative support services to a federal agency front office. This candidate will also provide part-time analysis support to our process improvement team. This candidate must have the ability to be on site in Washington, D.C. as needed (expectation is 3 days/week). Essential Functions
- Organizational Chart Management: Create and maintain up-to-date organizational charts, reflecting current staffing structures and roles within the organization
- Staff Realignments: Support staff realignments by assessing resource needs and coordinating the implementation of changes, in government systems, to optimize workforce distribution
- Customer Service: Provide excellent and timely customer service to internal and external stakeholders, addressing inquiries and resolving issues promptly and professionally
- Stakeholder Engagement: Facilitate stakeholder meetings with clients, including federal agency executives, to gather requirements, discuss project objectives, and ensure alignment with organizational goals.
- Travel: Support the travel management team with reporting and approval routing pool analysis in the E2 system
- Process Review and Improvement: Review existing business processes, workflows, and systems to identify inefficiencies, bottlenecks, and areas for improvement. Propose and implement solutions to optimize processes and enhance productivity.
- Microsoft Office Suite Skills: Utilize proven Microsoft Office Suite skills, particularly Excel, Word, PowerPoint, and Visio, to create reports, presentations, and documentation for stakeholders and project team members.
Education/Skills/Experience Requirements:
- Minimum of 1-2 years of experience providing administrative support to senior executives within a federal agency
- Minimum of 1-2 years of experience as an operations, project, or business analyst, in a federal agency or government contractor environment
- Bachelor's degree in Business Administration, Finance, Management or a related field required
- Proven proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint, with the ability to create professional reports, presentations, and documentation
- A working knowledge of Microsoft Visio is strongly preferred
- Experience with the E2 system is strongly preferred
- A high level of professionalism and communication skills
- Active public trust clearance or the ability to obtain a public trust clearance
