Job Title: Seasonal HR Coordinator

Employer: Madison Mallards LLC

Employment Period: March 1st, 2025 through August 31st, 2025

Responsibilities:

Staffing:
  • Facilitate the in-season hiring of part-time employees.
  • Find and attend job fairs throughout the Madison community
  • Work with department heads to execute the orientation and training of new and returning part time employees
  • Work with department managers to schedule part-time seasonal staff for games.
  • Oversee part-time employee check-in procedures for all Mallards and Madison Night Mares home games.
  • In conjunction with the Management Team, administer corrective actions for staff, and, where applicable, process terminations for part-time staff, which includes completing necessary paperwork, gathering documentation, and updating internal records/systems.
  • Monitor official communication channels between all organizations and part-time workers, relaying staffing changes in real-time to appropriate departments.
  • Be available to all part time employees by means of answering questions and addressing concerns as it related to employment
  • Follow procedures for interviewing and hiring new employees throughout the duration of summer

Payroll:
  • Onboard new employees to the payroll system.
  • Work with the finance department to perform accurate and timely review, input and analysis oftimecard data for bi-weekly payrolls.
  • Ensure compliance with all applicable state and federal wage and hour laws.
  • Process requests for paychecks adjustments, retro amounts and final checks, as needed.
  • Work with the finance department to provide routine and ad-hoc payroll reporting and analysis to management.
  • Manage distribution of payroll checks

General HR:
  • Manage a seasonal HR intern.
  • Direct the HR-related work of a supporting seasonal Finance intern.
  • Maintain employee files including, I-9, work permits and Roster Document to ensure paperwork is completed in a timely manner and follows all laws.
  • Respond to requests for verifications of employment in a timely manner.
  • Establish and execute a retention plan for all part time employees

Expectations:
  • Work the majority of Madison Mallards and Madison Night Mares games with sufficient coverage from other staff members on nights not present at the ballpark.
  • Be a leader to all interns. Serve as direct manager of HR interns.
  • Abide by all terms of the Madison Mallards Seasonal/Intern Handbook.
  • Abide by all COVID-19 safety protocols & reporting requirements, as determined by the employer and municipal/governmental mandates in effect during employment.
