Summary

The Payroll Administrator will strategically apply their payroll expertise to payroll related activities for a multi-site, multi-state company that is rapidly growing and expanding into new areas throughout the US. This individual will join the Finance team and provide support to the HR department. Primary responsibilities include payroll processing, payroll tax compliance, HR reporting, and organizational compliance with federal and state regulations. This includes Worker’s Compensation and Unemployment registration and reporting. The Payroll Administrator is our internal SME for payroll processes, state taxes, and all of the overall payroll functions within the organization.

Payroll

The Payroll Administrator will oversee and supervise the payroll functions of the organization, ensuring pay is processed on time, accurately, while meeting regulatory standards and expectations.

  • Implements, maintains, and reviews payroll processing and accounting processes pertaining to payroll processing to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Processes company's payroll every pay period and executes transactions with minimal errors
  • Answers staff questions about wages, deductions, attendance, and time and attendance records
  • Identify, investigate, and resolve discrepancies related to time and attendance and payroll records
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Prepares and maintains accurate records and reports of payroll transactions
  • Administration of the payroll system
  • Manage employee wages, deductions, and employee data in the payroll system
  • Ensure wages and tax withholdings comply with federal and state regulations; process related payments and reporting to government agencies
  • Facilitates audits and coordinates with external auditors by providing records and documentation to auditors.
  • Identifies and recommends updates to payroll accounting software, systems, and procedures.
  • Managing compliance programs as they relate to state and federal regulations including but not limited to Federal Insurance Contributions Act (FICA), Federal Unemployment Tax Act (FUTA), Affordable Care Act (ACA), Family Medical Leave Act (FMLA), Consolidated Omnibus Budget Reconciliation Act (COBRA), Americans with Disabilities Act (ADA), Fair Labor Standards Act (FLSA), Worker’s compensation
  • Performs other duties as assigned.

Minimum Requirements

  • Bachelor’s degree in accounting, Human Resources, or relevant field
  • Proven work experience as a Payroll Administrator, Payroll Supervisor, Payroll Accountant, or similar role
  • Experience with multi-state payroll, unemployment, and income tax required
  • Proficiency using HRM systems and accounting software
  • Excellent Computer skills: MS Office programs (Outlook, Word, Excel, PowerPoint, Teams)

Preferred Candidates have

  • 2 to 4 years’ experience processing multi-state payroll functions and compliance with associated tax laws
    • CA, IA, & VA are preferred, all multi-state experience will be considered
  • 1 to 2 years’ experience with temporary and permanent remote employees in various states throughout the US
  • ACA and EEO-1 reporting
  • FMLA, ADA, OSHA administration
  • Experience with Paycom, NetSuite, Concur, Adaptive
  • Fundamental Payroll Certification (FPC), Certified Payroll Professional (CPP)
