EXECUTIVE LIAISON OFFICER
Reports to: Senior Director of Shareholder Services & Administration
Status: Regular, Full-time, Exempt
Location: Anchorage, AK
JOB SUMMARY: The Executive Liaison Officer (ELO) will provide high-level administrative, planning, and coordination support to President/CEO and Executive Leadership Team (ELT) members. In addition, they will manage the Aleut Board Liaison and administrative team. They will perform a diverse set of support tasks that include but are not limited to daily support for the President/CEO, complex travel administration, special project management, meeting coordination and note taking, task tracking and follow-up to ensure project/task completion.

PRIMARY RESPONSIBILITIES

- Provide high-level logistical and project management support to the President/ CEO and ELT.
- Take minutes and capture all action items at meetings; follows up and holds leaders accountable for completion.
- Coordinate executive travel and arrange logistics for a wide range of events, including special meetings, ELT meetings and other staff meetings.
- Partner with Communications for Executive presentations, including staff meetings, President internal and external correspondence, and other reporting requirements, etc.
- Ensure staff, customers, partners, and visitors are received warmly by the Executive Office, and that all requests/messages to or from subsidiary leadership are rapidly addressed.
- Ensure meeting rooms are properly set up in coordination with IT (e.g., telecom and projected slides, presentations) for all meetings.
- Coordinate with the executive assistant for catering when necessary.
- Manage Board Liaison and administrative support team.
- Track progress against timeline/deliverable schedule for Executive team and report to President/CEO.
- Create and manage the Executive Master Calendar.
- Build and maintain strong working relationships with the President/CEO, Board of Directors, Executive team, and other coworkers.
- Perform high level administrative tasks including writing and editing e-mails, drafting memos, and preparing communications for President/CEO and ELT.
- Maintain comprehensive and accurate records/files.
- Screen all incoming calls, inquiries, and visitors for President/CEO.
- Schedule and attend meetings on behalf of executives, taking notes and recording minutes.
- Manage the President/CEO's daily commitments to maximize their time and efficiency.
- Keep track of delegated tasks to keep projects and initiatives on schedule to meet deadlines.
- Work as a team member with flexibility and adaptability.
- Perform all other duties as assigned.

- Ability to coordinate multiple schedules and produce accurate work despite frequent interruptions.
- Ability to make decisions, solve problems, and take initiative to improve processes and procedures.
- Ability to work independently with minimal supervision.
- Ability to manage a leader, and their direct reports.
- Ability to create, track and manage a yearly department budget.
- Excellent interpersonal skills with the ability to work with the executive team, managers, co-workers, and outside contacts.
- Excellent oral and written communication skills utilizing proper grammar, spelling, editing, and proofreading.
- High level of organization with the ability to prioritize and manage multiple projects and deadlines.
- Knowledge of Aleut, its subsidiaries, non-profits, and resources within the region.
- Maintain a high degree of confidentiality, integrity, and tact in dealing with sensitive information.
- Possess and demonstrate cultural awareness and sensitivity.
- Possess strong analytical skills to review, evaluate, and synthesize information.
- Proficient in Adobe and MS Office Programs including Excel, Word, Power Point, SharePoint, and Outlook.
MINIMUM QUALIFICATIONS
- Bachelor's degree in business, administration, or related field; OR an equivalent combination of experience, education, and training.
- Five (5) years of related experience to include extensive experience supporting C-Suite Executives.
PREFERRED QUALIFICATIONS
- Experience at Alaska Native Corporations.
PHYSICAL DEMANDS
- General office demands.
- Must be able to travel at least 10% of the time.
- Must have ability to maintain assigned work hours in a 40+ work hour environment.
