RECEPTIONIST

Reports to: Executive Liaison
Status: Regular, Full-time, Non-exempt
Location: Anchorage, AK

JOB SUMMARY: Serve as the receptionist and directly support administrative staff, performing a wide variety of skilled office tasks and procedures for all corporate departments.

PRIMARY RESPONSIBILITIES

  • Ensure constant coverage at the front desk while maintaining a neat and orderly appearance in the reception/lobby area.
  • Maintain the appearance, overall cleanliness, and supply level of the third-floor front desk area, conference room, production room, kitchen, and storage area.
  • Assist in scheduling meetings and maintains various communication matters as requested.
  • Receive all incoming telephone calls in a professional manner, giving appropriate information to the caller or by routing caller to appropriate staff; take accurate and complete messages, ensuring their timely delivery; and place calls as instructed.
  • Greet and assist all visitors, ascertain nature of business and route visitor to the appropriate staff.
  • Maintain visitor sign-in log sheet.
  • Maintain open communication and coordinates with building security daily.
  • Monitor the receptionist email for all incoming information including facsimiles; accordingly, send all outgoing facsimiles as instructed.
  • Receive, sort, and monitor all incoming/outgoing mail for distribution or pickup.
  • Process all outgoing U.S. mail and deliver it to the postal drop-box before the pickup deadline each day. Utilizes the services of federal express, certified mail, or express mail when required.
  • Maintain and update corporate records, files, and information as assigned.
  • Copy, sort, and file records related to office activities.
  • Support the Shareholder Relations Department by assisting shareholders and descendants with forms and requests which includes recording and updating information in the shareholder database.
  • Directly supports administrative staff daily and maintains flexibility to perform various assigned tasks.
  • Prepare conference rooms for meetings as required.
  • Must be flexible in daily work schedule to accommodate corporate functions and activities.
  • Perform all other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Ability to work effectively with co-workers, managers, executives, board members, and outside contacts.
  • Excellent communication, listening, and inter-personal skills; ability to communicate verbally and in writing.
  • Ability to operate multi-line phone system.
  • Proficiency with standard office equipment including copiers, computers, postage machine, etc.
  • Proficiency with Microsoft Office programs including Word, Excel, Outlook, and PowerPoint.
  • Demonstrates ability to multi-task and work in a fast-paced office setting.
  • Ability to accomplish multiple tasks by prioritizing the order of importance.
  • Ability to work independently as well as collaboratively.
  • Understands and demonstrates confidentiality.
  • Maintains a professional appearance in grooming and dress, as well as a friendly, professional demeanor.
  • Demonstrates initiative to seek out work when all assigned tasks are either completed or not requiring immediate attention.
  • Willingness to ask questions for clarification when given a task or project.
  • Ability to read and write in English.

MINIMUM QUALIFICATIONS
  1. High School Diploma or GED.
  2. Two (2) years working in an office setting or any combination of experience, education, and training in a related field of work.
