Job Title: Controller

Reports To: Chief Operating Officer

SUMMARY

To maintain accounting, personnel, and administrative books and records in accordance with applicable laws and in a manner that satisfies GAAP and tax reporting requirements.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:
  • Responsible for all aspects of payroll processing which includes the maintenance of employee records, the management of the 401(k) Plan, filing and complying with federal and state payroll taxes and reporting including Form 941, Form 940, and State Unemployment Form. Tracking and recording vacation use and accrual. Helping to comply with health care laws regarding COBRA.
  • Inventory control and tracking responsibilities including the recording of all inventory transactions including transfers and variances. Reconciliation of tanker trips and lighterage trips through the accumulation of trip files and related documents. The filing, payment, and processing of all related tax and government reports applicable to fuel and inventory for Vitus Energy which includes, EIA reporting, customs entry reconciliation, Alaska Motor Fuel Return, IRS Form 720, and IRS Form 720-CS (all monthly). Help devise and implement new procedures for situations such as borrowed fuel.
  • Review of all bills for Vitus Energy including the proper classification of divisions. Gathering tax documentation and the filing of 1099's.
  • Review of all billing of Vitus Energy, and providing the necessary statements to Marketing Manager for collection efforts. Processing of credit cards when customer prefers such service. Help calculate and settle peculiar contract issues such as prepayment discounts. Maintain and help solve issues with Federal and State tax certificates for exemption on relevant forms. Billing of internal use boat fuel to accomplish proper tax reporting. Reconciliation of sales data at month end to determine all sales are properly recorded.
  • Maintain fixed asset records for Vitus Energy in order to properly track and depreciate said assets.
  • Perform month-end closing procedures which includes the amortization of prepaid expenses, reconciliation of cash, reconciling intercompany transactions, and consolidating financial statements.
  • Research and advise on GAAP and tax issues. Cash forecasting when the balances become low. Make deposits of incoming cash. Maintain and apply for applicable business licenses such as Bethel, and State of Alaska. Filing and paying of sales taxes when applicable.
  • Maintain and organize filing system. Communicate with Quickbooks, customers, and vendors when needed.
  • Help produce a budget for the upcoming year.
  • Review cash transactions daily to ensure they are properly deposited and recorded.
  • Maintain function and troubleshoot card processing problems at terminal locations.
  • Review Bethel day folders, and manage AR process in Bethel.
  • Produce monthly budget to actual comparisons for monthly budget meetings.
  • Participates in company environmental, safety, training, staff, and management meetings as required.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Bachelor's Degree in Accounting or Finance. CPA or CMA designation preferred.

LANGUAGE SKILLS

Has the ability to read and interpret documents such as safety rules, operating and maintenance instructions, company policy, procedure manuals and/or state and federal regulations. Has the ability to read and interpret accounting rules and tax law. Has the ability to write routine reports and correspondence. Has the ability to speak effectively before groups of agency personnel or employees of company. Speaks some Spanish.

MATHEMATICAL SKILLS

Has the ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Has the ability to understand and perform calculus including derivatives and integrals including vectors and differential equations. Well versed in stoichiometry and other chemical and physics equations.

REASONING ABILITY

Has the ability to solve practical problems and deal with a variety of variables in situations where limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to produce complicated excel spreadsheets to track and reconcile various accounting issues.
