Executive Assistant to Founder of Early-stage Startup

Fast-growing, female-founded healthcare startup is looking for an Executive Assistant to support their Founder. This is an incredible opportunity to join a mission-driven team of 4 full-time who are expanding rapidly! Provide support to the Founder through proactively managing calendars, organizing a busy travel schedule, and overseeing inbox to assist with triage and ghostwriting. Will also provide support to the Chief of Staff to prepare for meetings and implement organizational systems and processes. Someone who is extremely proactive, resourceful, and takes initiative to keep things moving forward. Preference for someone based in the Bay Area to be in San Francisco 4 days/week. 120-140K DOE + equity, benefits for dependents too, and generous PTO!

Responsibilities:
  • Provide comprehensive support to the CEO, including managing their calendar and travel arrangements. This includes organizing monthly (or more frequent) travel using provided documentation.
  • Manage the CEO's inbox, draft communications, and act as a ghostwriter for internal and external messaging.
  • Track and prioritize the CEO's tasks and ensure follow-through on all commitments.
  • Implement organizational processes and systems to improve efficiency and streamline operations.
  • Plan and organize quarterly Board meetings, working closely with the Chief of Staff to prepare materials and communicate around these meetings.
  • Manage the team calendar for recurring meetings, including all-hands, roadmapping sessions, and other standing meetings.
  • Collaborate with the Head of Administration on necessary paperwork and licensing, ensuring all required information is handled properly.

Qualifications:
  • Previous experience as an Executive Assistant in a high-growth, early-stage startup.
  • Responsive and reliable, able to handle last-minute tasks and urgent needs outside hours. 24/7 mentality.
  • Self-starter, independent, and proactive with a strong ability to take initiative, solve problems creatively, and conduct research when needed.
  • Thoughtful in managing the CEO's time, balancing the CEO's priorities with the needs of the team.
  • Highly organized, with an ability to stay focused on details and ensure tasks are completed to perfection.
  • Resourceful, able to find information independently through available tools like email and shared drives.
