Overview

The Executive Assistant is responsible for performing diverse and advanced administrative duties confidential in nature and provides administrative support to the President, Chairman of the Board and Executives of the credit union. Responsibilities

Essential Duties and Responsibilities:

Includes the following non-inclusive list. Other duties may be assigned. All duties are to be performed in compliance with applicable laws, regulations, and Credit Union policies and procedures.

  • Provides administrative and secretarial support to the President, Board members and Executive Management of the credit union. Performing diverse, advanced and confidential administrative support including composing, signing and releasing routine but somewhat complex correspondence for the President, Executives and Board.
  • Maintains, updates and distributes board approved policies to appropriate staff members.
  • Administers the vendor management process for the credit union. Is responsible for maintaining contracts, coordinating due diligence and ensuring compliance with applicable rules and regulations.
  • Serve as the focal point for member complaints, tracking complaint investigations and resolution to ensure timely response to the member.
  • Prepare professional presentations via various software platforms for internal and external Executive local meetings and conferences.
  • Anticipates the needs of the Executive and acts accordingly. Screens calls, visitors, and emails to eliminate and/or prioritize in order to maximize the Executive's daily calendar. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Relieves management of administrative details; gathers, compiles and reports information relevant to/for the Executive.
  • Reads, screens, refers and responds to incoming mail, ensuring that referrals are made, responses are gathered and summarized.
  • Manage different and conflicting objectives, projects or activities at once.
  • Coordinates schedules for corporate level Executives.
  • Act as liaison to outside groups coordinating events where the Executive is a corporate chair, director or committee member. Communicates with Executives and line management to gather/convey relevant information.
  • Executive Assistant is involved in high-level client contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment.
  • Maintain information and distribution of the Volunteer Achievement Program materials.
  • Assists the President with Strategic Planning.
  • Assists the President in maintaining network contact with various political, volunteer and trade association contacts.
  • Compose specified reports and resolutions for the monthly board packet and coordinate, prepare and distribute the packet to Board Members and Executive Team.
  • Acts as recording secretary for monthly Board of Directors' Meetings, Annual Meeting, and any specially called meetings of the Board.
  • Assists in the coordination of the Annual Meeting.
  • Maintains, updates and distributes the President's 'Directives' to staff members. Responds to routine communications for the President and Board Chairman.
  • Prepares and maintains sensitive files, corporate documents, and credit union policies and procedures.


Qualifications

Education and/or Experience:

Bachelor's Degree in Business Administration, Business Management, Economics, Finance or related field or equivalent combination of education, training and experience preferred.

Minimum of 5 years in an Executive Assistant capacity or other role that often communicates with Executive Level Leadership.

Additional Knowledge, Skills, and Abilities:

Proficient in standard office applications such as Word, Excel and PowerPoint. Take dictation with a minimum of 80 wpm. Typing with a minimum of 65 wpm. Familiar with standard office equipment such as copiers, fax, scanners, 10-key calculator, personal computers, typewriters and printers.

Salary Range: $67,917.52-$101876.28
