Overview

Reports to: President and CEO

Functions Supervised: Executive Administration

Primary Functions: Manage and control of the credit unions Executive Administration department. Provide high level administrative support to President and CEO and the credit unions Officials.

Duties and Responsibilities:
  1. Act as direct executive assistant to President and CEO and as back-up assistant to C-level executives, as well as other executive staff as necessary.
  2. Maintain and manage the President and CEO's daily, weekly, and monthly schedule, including internal and external meetings, travel arrangements, and event planning. Anticipate the President and CEO's needs, prioritize tasks effectively, and ensure that deadlines are met consistently.
  3. Act as the primary point of contact between the President and CEO and internal teams, Officials and other key stakeholders.
  4. Draft, review, and manage communications on behalf of the CEO, including emails, reports, presentations, and meeting minutes. Act as principal editor for all external and internal communications as needed to ensure consistency of established standards.
  5. Plan and coordinate complex domestic and international travel, including flight and hotel bookings, transportation, and itinerary preparation.
  6. Handle sensitive and confidential information with discretion, ensuring confidentiality at all times. Responsible for maintenance of confidential and/or proprietary corporate records and information including, but not limited to, the credit union's Blue Book, containing policies, guidelines, and programs for the credit union and its subsidiaries.
  7. Manage the daily operations of Executive Administration. Oversee the smooth operation of the executive office, including the procurement of office supplies, vendor management, and other administrative tasks.
  8. Act as Corporate Secretary for the Board of Directors, to include administrative support for Officials Training Program, onboarding and orientation of new Officials. Responsible for oversight of logistics involved in planning and coordination of Board of Directors and executive staff functions.
  9. Responsible for oversight of administrative support for all credit union and CUSO Board of Directors meetings and executive management staff meetings, including related agendas, reports, documents, and minutes for the credit union and its subsidiaries, to include publication on the credit union's internal Intranet.
  10. Provide oversight of administrative support for the Global Credit Union Foundation and Opportunity Club, to include preparation of Board meeting agendas, reports, and agenda items, and documentation of Board minutes.
  11. Available to travel as necessary to meet with staff at secondary corporate offices in Glendale, AZ or as administrative support for offsite meetings in regional locations.
  12. Assist in special projects, research, and the preparation of presentations and reports as needed.
  13. Serve as a Notary Public.
  14. Other duties as assigned.


Qualifications

Education: Bachelor's degree in Business Administration, Communications, or a related field.

Creditable Experience in Lieu of Education: 5+ years of experience as an Executive Assistant, preferably supporting C-suite executives in a financial services or related industry.

Experience/Skills:

- Exceptional business writing and verbal communication skills

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools (e.g., Google Calendar, Microsoft Outlook).

- Strong organizational skills, with the ability to multitask and prioritize effectively.

- High degree of professionalism and discretion in handling confidential matters.

- Must be self-motivated, resourceful with the ability to work independently, exercise sound judgment, and manage time efficiently.

- Experience with travel coordination and event planning.

- Strong interpersonal skills and the ability to build relationships across all levels of the organization.

Compensation

Manager, Executive Administration (Category 05)

Salary Pay Range: $100,000 - $165,000 annually. Starting base salary will be determined based on candidate experience, qualifications, education, and local or state wage requirements, if applicable and will fall within the range provided above.

In accordance with our Salary Administration policy, new hire base salaries generally fall within the minimum to midpoint of the listed range.
