Description
Position Description: The Office Specialist supports office reception, communications, and office administration for the building.
Reports to: Director of Operations and Principal in collaboration with Office Manager/Registrar
PERFORMANCE RESPONSIBILITIES:
Receptionist
- Reports promptly and consistently during assigned hours
- Greets individuals entering the building (visitors, parents, students, vendors, etc.) for the purpose of responding to inquiries and/or directing individuals to appropriate location in accordance with established building security procedures.
- Answers school telephone system for the purpose of responding to inquiries, transferring calls, and/or taking messages.
- Distributes items within the site (mail, special deliveries, packages, supplies, etc.) for the purpose of distributing materials to appropriate parties.
- Maintains reception area materials and files (newsletters, event calendars, etc.) for the purpose of providing resource information to visitors.
- Maintains building information (use schedules, staff directories, emergency contacts, etc.) for the purpose of providing reference information.
- Oversees the distribution of mail/packages to staff for the purpose of ensuring delivery to appropriate personnel.
- Develop and maintain positive relationships with students, families, staff and community members.
- Responds to emergency calls for the purpose of notifying appropriate parties to address immediate safety and/or security issues
- Audits student files and prepares them for Infinite Campus upload
- Liaise with student households to communicate around recruitment, records verification, and to exchange school information and student data, as needed.
- Coordinates special projects for operations director, principal and network team
- Performs general clerical functions (scheduling, copying, faxing, data entry, filing, etc.) for the purpose of supporting office operations.
- Coordinate service of copiers and printers as needed
- Track and manage student payments, not limited to school supply fees or lost items
- Help plan logistics and preparation for school events, including, but not limited to, field trips
- Recruit and maintain active substitute pool
- Prioritize tasks and projects while also being able to pivot to resolve urgent matters in a successful way
- Secure substitutes as needed to fill teacher absences
- Manage incoming and outgoing correspondence concerning school events, field trips, and school closings etc.
- Manage and distribute orders and dismissal tags
- Print postage stamps
- Assist with the distribution of flyers, invitations, and other parent communication as it relates to the student recruitment process.
- Capture student attendance in Infinite Campus daily
- Maintain school wide parent contact information in Infinite Campus and ParentSquare
- Assist Office Manager as needed

MINIMUM QUALIFICATIONS:
- Be a United States citizen or otherwise have authorization to work in the United States
- High School Diploma/ GED required
- Highly organized and detail-oriented
- Proficient in Microsoft Word, Excel, and PowerPoint
- Strongly preferred - Experience with Infinite Campus
- Have the ability to pass an Atlanta Public Schools background check and obtain a GaPSC-issued clearance certificate
- 2+ years of administration experience in a fast-paced environment preferred
- Prior experience managing school records preferred
- Compensation aligned with The Kindezi Schools' salary schedule
