Description
The Office Manager will join the Human Resources/Administration team and oversee the operations of the physical and virtual office environment, including, but not limited to: office presentation, office support, administrative processes and systems, event planning, and continued support of Human Resources. The ideal candidate will be confident, professional, and kind with an upbeat and positive personality. You will create a positive and professional first impression for the company. This is an onsite full time position reporting to the Director Human Resources. Responsibilities & Essential Functions

- Provides office and administrative support to headquarters and satellites locations - supports HR department and senior leaders as needed/as assigned.
- Welcomes, receives, and directs visitors, clients, and employees.
- Responds to and resolves administrative inquiries and questions.
- Office duties such as answering/transferring/screening phone calls, sorting and distributing mail, and preparing documents.
- Plans, orders, and maintains inventory of office and kitchen supplies (including snacks); orders new supplies as needed.
- Maintains office files; implements an efficient system for other staff to access files and records.
- Retrieves information as requested from files , emails, meetings, and other related documents.
- Coordinates and schedules travel, meetings, and appointments for managers and executives.
- Prepares agendas and schedules for meetings.
- Uses and submits invoices and expenses via accounting system (CenterCard and Stampli).
- Manage the planning and execution of internal/external company events.
- Provide project and research assistance.
- Planning office moves, additions, and changes to workstations.
- Facilitate initial inquiries with office equipment usage.
- Order and distribute Field Team Apparel twice a year (Spring/Winter).
- Other duties and tasks as assigned by management.
- At least three (3) years of administrative or office experience required.
- High school diploma or equivalent required; Associates degree in office administration or related field preferred.
- Ability to maintain discretion and confidentiality of company, financial, and employee information.
- Comfort with changing priorities and a dynamic work environment.
- Extensive knowledge of administrative/office management procedures.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficient with Google Suite (preferred) or related software.
- Advanced proficiency and understanding of administrative/office procedures and systems such as meeting preparation, travel coordination, event planning, onsite office logistics, recordkeeping, and filing (traditional and digital).
- Ability to prioritize tasks, multitask, and solve problems independently.
- Strong sense of ownership over goals and workspace.
- Ability to work independently with minimal supervision.
- Must enjoy planning company engagement activities and events and participating in growing AES culture.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 30 pounds at times.
- Ability to type at least 40 words per minute.
- This is a full-time exempt salaried position with an expected base annual salary range $55,000 - $65,000 (Depending on Qualifications & Experience).
- Onsite In-Person: This position is in-office at AES headquarters (St. Paul, MN).
- Schedule: Monday - Friday, 8:00 AM - 5:00 PM.
- Profit sharing bonus based on company performance.
