Key Responsibilities
- Culture ambassador who cares deeply about Project Canary's vision and mission, and embodies the spirit internally with teammates and externally with guests
- Calendar Management for CEO
- Manage complex and ever-changing scheduling, both internal and external, across global time zones, utilizing Outlook and other applicable tools
- Build cadence and schedule all internal 1:1s and team meetings led by CEO and Chief of Staff
- Track unanswered meeting requests until closure
- Meeting Logistics
- Manage in-person meeting logistics for the CEO and Chief of Staff, including room scheduling, communications regarding building access, restaurant reservations, etc.
- Travel Logistics
- Arrange flights, hotels, ground transportation
- Enter travel details on calendars, revise when changes occur
- Admin Support
- Manage CEO monthly expense reporting utilizing Airbase
- Complete ad hoc administrative tasks for CEO and Chief of Staff as needed
- Office Management
- Coordinate and negotiate with all vendors, including but not limited to, plant maintenance, cleaning, facility maintenance, and building management
- Provide support and serve as the primary contact for all office events, including any meetings with external guests, large food orders, or any other required logistical planning
- Support People & Culture team by assisting with internal event planning, including team building events and meetings
- Provide kitchen maintenance, including restocking, loading dishwasher, making coffee and other kitchen-related tasks

- Proficiency with a wide range of technical platforms and tools (e.g., Outlook, MS Office, online calendaring, virtual meeting platforms, Slack, etc.)
- Level-headedness in managing the ups and downs of business cycles with emphasis in team collaboration rather than creating silos
Qualifications
- Minimum of 3 years' experience as an Executive Assistant, supporting C-Suite and/or Senior Executives in a fast-paced, hyper-growth environment
- Prior experience with early-stage startups highly preferred
- Bachelor's degree preferred
- Experience in event coordination or management preferred
