Responsibilities

We are seeking a hard-working, organized, and resourceful professional to work as the Senior Office Manager at our Northwest Harris County location.  The successful candidate will be a self-starter and pride themselves in completing tasks efficiently and promptly.  They will be able to multi-task, juggling many responsibilities during a single day, without loss of efficiency or quality.

This is an in-office position working a normal business week: Monday through Friday, 8:00 am to 5 pm.  Some overtime, depending upon business needs, may be required.  It is Stress’ policy to pay employees for overtime, even if exempt, when approved by senior management.

The Senior Office Manager will report to and serve as an Executive Assistant to the Chief Operating Officer responsible for internal operations. The duties of this important position are both diverse and dynamic but center upon providing an efficient support structure to enable the technical staff to focus on revenue-generating tasks.  Some of the duties include, but are not limited to:

  • Proactively evaluate current administrative functions and optimize personnel and tasks to provide the best support system for our engineering and laboratory staff.
  • Manage and oversee the daily operations of our administrative staff.
  • Assist with the hiring and training of the administrative staff.
  • Manage overall document control effort. 
    • Implement and maintain systems to ensure quality of project documents including format, grammar, and punctuation.
    • Assist project managers with the development of project proposals, reports, and other project deliverables in a timely manner to ensure all client deadlines are met.
    • Work closely with the Quality Management team to ensure all project documents follow our quality policies.
  • Manage and assist, when necessary, the reception area staff.  Ensure complete front desk coverage in each building during business hours.
  • Coordinate building needs with administrative and maintenance staff.  Needs include, but are not limited to, maintaining office supplies, cleaning/janitorial services, coffee service, office repairs, and building security.
  • Liaison with accounting, IT, safety, legal and training groups to support project teams and management, as needed.
  • Other administrative tasks, as needed.
Qualifications
  • Minimum high school diploma.
  • Minimum 5 years in an administrative, document control, and/or accounting role.
  • Minumum 3 years of supervisory or management experience. 
  • Exceptional computer skills, including strong proficiency with MS Office suite.
  • Excellent, professional verbal and written communication skills.
  • Strong work ethic; well organized and able to effectively multitask and meet deadlines.
  • Cooperative, adaptive, and able to work effectively with a variety of work styles.
  • Self-starter; ability to recognize areas for improvement with minimal supervision.
  • Detail oriented, striving for perfection in all tasks and work product.
  • Understands and exhibits professional discretion and confidentiality regarding communications about the firm and personnel, Stress’ clients, and the work we perform for them. 
  • Applicant must have U.S. Person status to perform the duties of this position.

Preferred:

An associate's degree or equivalent is preferable.
