Job Description:
The Manship School of Mass Communication's Academic & Events Coordinator serves as the first point of contact for the department. This position is forward-facing and the incumbent must be professional, knowledgeable, and a positive representative of the School. The Academic & Events Coordinator role is a combination of administrative work, student services and event planning. Administrative duties include providing support for all faculty, adjuncts, assistant deans, and associate deans; maintaining office inventory/supplies, managing rooms reservations for two buildings, managing travel logistics for guests of the School, and serving as Building Coordinator. The student services piece consists of working with students to provide information and guidance to resources; managing the school's main email account and main phone line; recruiting support such as sending out packets, scholarship info., etc; serving on School Scholarship, Assessment and Admissions Committees; assisting the Senior Assistant Dean for Student Services with graduation, registration, etc. The event planning piece involves coordinating all logistics of events hosted by the Manship School; providing event support for faculty, student organizations, and the Assistant to the Dean for events assigned by the Dean.
Job Responsibilities:
Responsible for administrative duties for the main office of the Manship School, including answering the School's main email and phone accounts, and managing incoming/outgoing mail. Maintains the scheduling books for special classrooms & meeting spaces in the School. Manages School's permanent parking space & requesting reserved parking. Orders and manages all supplies. Prepares room class schedules, phone lists, office hours and Manship School Summit documents each semester. Collects syllabi each semester for every MC class and saves them in an electronic file. Manages course evaluation lists through the Office of Assessment & Evaluation. Internship database management. Copier management contact for the department. Assists students with routine questions related to guidance and counseling information in order to economize student and counselor time whenever possible. Assists with planning and participating in graduations, registration, preregistration and special programs throughout the year. 50%
Coordinates logistics for all Manship led events as assigned by the Dean, Associate Deans, and Assistant Deans; Provides event support to the Assistant to the Dean and Student Engagement Coordinator (recruiting events for undergraduate and graduate students, scheduling tours of the School for prospective students). 25%
Serves as a member and recorder on the School Scholarship, Assessment, and Admission Committees. As a member of these committees the incumbent will review applicants and make decisions/recommendations. Receive and process scholarship and School admission applications for each committee and send acknowledgment email to applicants. Collect, compile and disseminate confidential information/data to the committees so decisions can be made. Compile and maintain applicant list and notify students of their status (acceptance/rejection). 10%
Serves as Building Coordinator; manages work orders via FAMIS and service requests with Telecomm/ITS; processes key requests. Maintains secure key system for two buildings. Serves as contact with Facility Services which involves submitting work orders & setups for events in the Holliday Forum. 10%
Special projects at the request of the dean, associate deans and/or assistant deans. 5%
