HealthPartners is hiring for a full-time Senior Administrative Assistant working in the legal department. POSITION PURPOSE: Provides high-level confidential administrative support to various attorneys and department team members. Serves as the gatekeeper and face of the Law Department to internal and external colleagues. Independently applies analytical and problem-solving skills to resolve issues. Communicates and interacts with senior-level HealthPartners personnel and their executive assistants. The ideal candidate will be independent, self-motivated, resourceful, collaborative, adaptable, and able to think on their feet. Our Senior Administrative Assistants are often the go-to person for a wide range of support needs, so a strong desire to help, attention to detail, ability to follow instructions, good problem-solving, and leadership skills are essential. Our Senior Administrative Assistants play a critical role in modeling and promoting our department culture of partnership, excellence, and fun! Schedule: Monday through Friday, 8:30am- 5:00pm Location: HealthPartners 8170 Bloomington Office Building Accountabilities Perform a variety of high-level administrative assistant tasks to support multiple attorneys and other department team members. Duties include, but are not limited to: Manage high volume calendar and meeting requests. Support the process of renewing various state licensure and registrations and other related compliance responsibilities. Support the Attorney General Customer Complaint process by tracking intake, coordinating information gathering, and drafting responses. Create and update electronic workspaces and matters in our document management and case management systems - iManage and Legal Tracker. Create, proofread and edit a wide variety of confidential materials, such as reports, memorandums, letters, presentations, spreadsheets, tracking tools and other documents as requested. Ensure the timely processing of various business invoices, purchasing card statements, track mileage and prepare expense reports. Manage continuing education registration and credit tracking. Manage all aspects related to business travel arrangements, itineraries, and tracking. Renew attorney licenses. Manage set up and execution of meetings, as requested. This includes preparation of agendas and other meeting materials, presentation preparation, securing meeting location, equipment, and food service arrangements, as needed. Manage time and effectively balance competing priorities from a variety of sources. Establishes and maintains excellent working relationships with others. Serves as a backup to other law department support staff as needed. Responsible for variety of assignments requiring independent judgment and action. Highly engaged in the use of technology and able to be a resource to others. Maintain accurate and up-to-date electronic records and files. Orders office supplies. Performs other duties as assigned. Required Qualifications: 2+ years' recent experience in the role of administrative assistant in either a health care, insurance, or legal setting Enjoy being a professional administrative assistant with a desire to support others Proficient with use of Microsoft Outlook, Word, Excel, and PowerPoint Possess excellent work habits-is accountable, dependable, effectively manage time, strong attention to detail, ability to follow instructions, effectively track projects, and perform well under pressure to meet tight deadlines Demonstrated ability to problem solve and work independently with minimal supervision Ability to build and maintain positive relationships with others Strong oral and written communicat on skills Excellent spelling, grammar, editing and proof-reading skills Experience creating efficient workflows Experience working with and protecting highly confidential and sensitive information High School Diploma or GED Preferred Qualifications: Experience working with electronic document management software, such as iManage Experience working with electronic case management systems Experience with electronic medical record systems, such as EPIC We are an Equal Opportunity Employer and do not discriminate against any employee or applicant for employment because of race, color, sex, age, national origin, religion, sexual orientation, gender identity, status as a veteran, and basis of disability or any other federal, state or local protected class.
