This role requires expertise in project management tools, proposal writing, invoice management, and marketing support to ensure smooth project execution and contribute to business growth.Responsibilities: Assist in drafting and preparing high-quality proposals in response to incoming requests.Collaborate with team members to ensure timely submission of proposals while maintaining compliance with client specifications.Monitor and track proposal requests to prioritize workloads effectively.Oversee the organization and maintenance of project documents, ensuring accuracy and accessibility.Manage Smartsheet data and processes to enhance workflow efficiency and reporting capabilities.Develop and implement best practices for document management to improve team collaboration.Streamline the invoicing process to reduce turnaround time and improve cash flow.Maintain an organized system for tracking accounts receivable and ensure timely follow-ups.Prepare project reports to report on overall project activity.Facilitate coordination between legal teams and external architects/clients to ensure contracts are processed efficiently.Monitor contract timelines and deliverables to avoid delays in project execution.Maintain organized records of all contracts and agreements for easy access.Assist in the development and distribution of monthly articles to enhance the company's market presence.Support the management of the team portfolio, ensuring it reflects current projects and capabilities.Collaborate with the marketing/communications team to identify opportunities for promoting our services and enhancing brand visibility.Qualifications: Bachelor's degree in Business Administration, Project Management, or related field (preferred).Proven experience in project coordination or a similar role.Excellent written and verbal communication skills.Strong organizational skills and attention to detail.Proficiency in project management tools (e.g., Smartsheet) and Microsoft Office Suite.Proficiency in Adobe creative suitesAbility to manage multiple tasks and prioritize effectively in a fast-paced environment.
