POSITION PURPOSE:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. The successful candidate will have excellent communication skills, be able to prioritize tasks and work independently. ADMINISTRATIVE ASSISTANT COMPENSATION:
- Base hourly rate $18-$22
- Medical benefits in the amount of $500 per month

Front Desk & General Office Administration:
- Serve as the first point of contact by answering and directing phone calls in a professional manner.
- Greet visitors and ensure they are attended to promptly.
- Manage the processing and distribution of incoming and outgoing mail.
- Maintain the overall appearance of the office, ensuring common areas (breakrooms, bathrooms, and conference rooms) are stocked and tidy.
- Order office supplies and maintain inventory levels to ensure operational efficiency.
- Assist with general office support tasks, such as scheduling meetings, coordinating conference room bookings, and supporting various internal events.
- Assist the accounting department with pulling and organizing invoices for review and processing.
- Audit and maintain the credit card user list, ensuring all records are accurate and up to date.
- Monitor and manage the incoming accounts payable email inbox, ensuring timely responses and forwarding relevant documents to appropriate team members.
- Scan and process invoices through the accounts payable (AP) system for review and payment.
- Support additional administrative tasks as needed by the accounting team to facilitate smooth financial operations.
- Office Proficiency: Strong understanding of office management practices with hands-on experience using office equipment, multi-line phone systems, and managing office supplies.
- Software Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is essential. Experience with accounting software or AP systems is a plus.
- Organizational Skills: Exceptional attention to detail and ability to multitask in a fast-paced work environment. Must be able to prioritize tasks and work independently when needed.
- Communication Skills: Strong verbal and written communication skills with the ability to interact professionally with executives, team members, and external clients.
- Team Player: A collaborative and adaptable attitude, willing to assist in various departments as needed.
- While an accounting background is not required, prior exposure to basic accounting functions (e.g., invoice processing, auditing, or AP management) will be considered a strong asset.
- Experience working in an office environment is preferred but not mandatory for entry-level candidates who show proficiency with office tools and systems.
