Job Summary:

We are seeking an organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure the smooth operation of the office. This role will involve managing office tasks, handling correspondence, maintaining files, and assisting in various administrative duties to support the daily functions of the team.


Key Responsibilities:
  • Office Management:

    • Answer and direct phone calls, emails, and other forms of communication.
    • Maintain office supplies inventory, order new supplies as needed, and manage office equipment.
    • Coordinate office activities and schedules, including meetings, conferences, and travel arrangements.
  • Administrative Support:

    • Prepare, organize, and maintain files and records, both electronic and physical.
    • Assist in the preparation of reports, presentations, and other documentation.
    • Handle incoming and outgoing mail, packages, and faxes.
  • Scheduling and Coordination:

    • Schedule and coordinate meetings, appointments, and travel arrangements.
    • Organize and maintain calendars for executives or team members.
    • Assist in the planning and execution of company events, meetings, and conferences.
  • Customer Service:

    • Greet and assist visitors, clients, and vendors in a professional manner.
    • Provide general information about the organization, as needed.

Qualifications:
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and multitasking abilities.
  • Ability to handle sensitive and confidential information.
  • Strong attention to detail and problem-solving skills.
  • Self-motivated, proactive, and able to work independently.
  • Positive attitude with excellent interpersonal skills.
  • Ability to adapt to changing priorities and workloads.
