G&A Partners' client is currently seeking an Administrative Assistant to join their team in Arlington, TX.
Responsibilities:- Filing tenant files and vendor files
- Answering property phone calls and visitors to the management office
- Research payments for vendors.
- Help obtain operational and construction bids.
- Assist in preparation of service contracts and AIA contracts.
- Assist with the budget process.
- Open access points on site for vendors as needed.
- Provide administrative support for the Marketing Director
- Assist external marketing director with execution of onsite marketing activations and events including distribution of onsite marketing materials and coordination of operations, security, external vendors, etc. for a successful event.
- Field initial incoming calls re: event sponsorships and not-for-profit onsite events with sponsorship participation
- Enter sales in Yardi PM system and reach out to tenants to obtain sales.
- Tenant and vendor insurance certificate tracking
- Apply Cash Receipts for tenants.
- Review A/R and address delinquency as needed.
- Maintain Tenant contact list in Yardi PM system.
- Maintain Vendor contact list.
- Collect and track HVAC and other maintenance Contracts from tenants.
- Preparation of special projects on an ad hoc basis
- 2-3 years experience in commercial/ retail real estate
- Higher Education a plus, but not required
- Knowledge of AVID Exchange and Yardi, preferred
- Proficient in Excel & Word
- Basic knowledge of real estate
- The ability to read and interpret complex tenant leases
