We have an outstanding Contract to Hire position for an Administrative Assistant to join a leading Company located in the San Diego, CA surrounding area.

Pay Rate: $24.78 - $27.61

**U.S. Citizenship is required.**

Job Responsibilities:

  • CCCB weekly meeting update reports.
  • Receive all overtime reports from Trades and Operations teams to generate Weekend Overtime Reports.
  • Attend Weekly Resource Meetings on Fridays to review overtime reports.
  • Distribute all RCC, ATP, MOD's internal -Trades.
  • Process all Class F estimates as received.
  • Create and maintain Lead Sheet for each project, create specification folders, download specs & drawing for each project.
  • Generate CFRs received by Subcontractors.
  • Correct CFRs that are reflecting errors in SRDAP/NMD and recycle & resubmit promptly. Monitor all emails daily and any recycled error CFRs that were resubmitted via NMD.
  • Distribute all PCFs to Subcontractors.
  • Manually input all answers in SRDAP received by SWRMC personnel or Prime contractors and distribute. (*Note certain availabilities have different processes for i.e. DDG1000, CVNs, and PSAs).
  • Download reference & drawing from SRDAP.
  • Generate ServiceNow ticket w/IT & SWRMC when CFR/IDRs errors cannot be corrected that day.
  • Check SRDAP for answers & distribute them internally and to all trades.
  • Create specification binders for Area Managers for all projects as requested.
  • Monitor and maintain the Area Manager's assignments (work items) updated in SRDAP.
  • Await new direction and process for IFS regarding RCCs and Specs.
  • Coordinate and set up all 25%, 50%, 75% & 100% conference meetings and briefs.
  • Troubleshoot all errors within SRDAP, IFS and Doc Locator.
Basic Hiring Criteria:
  • High School Diploma or equivalent.
  • MS Office experience.
  • Proven administrative experience.
  • Aptitude for learning new software and in-house systems.
