We are currently looking for a Administrative Assistant to join our team in Atlanta. This will be a part time role averaging 25-30 hours per week with in office responsibilities Tuesday through Thursday.

Essential Functions:

Executive Support:

  • Manage the CEO's calendar, appointments, and travel arrangements.
  • Plan quarterly board meetings in collaboration with the CFO. Oversee logistics for board meetings by coordinating food service, ordering branded items, preparing accommodations, reserving meeting space, etc.
  • Prepare and organize materials for meetings, presentations, and reports. Stay informed about CEO's ongoing projects, priorities, and commitments. Gather relevant information, prepare briefing materials, and provide regular updates to CEO to keep them informed and prepared for meetings or events.
  • Coordinate travel arrangements, including booking flights, accommodations, meeting space, and ground transportation for executives. Anticipate and address any logistical issues, ensuring seamless travel experiences for ELT.
  • Handle confidential information with discretion and professionalism.
  • Assist in project coordination and follow-up on action items.
  • Assist with internal communication as needed to include drafting and proofreading business communications on behalf of executives.
Office Administration:
  • Oversee daily office operations, including greeting visitors, supply management and vendor coordination. Order and keep supplies stocked and organized. Maintain relationships with vendors and property management. Manage work order requests with property manager.
  • Coordinate office events, client meetings, Culture Committee functions, meetings, team-building activities, and regular in-person team meals to include ordering food and supplies, coordinating event space, planning agendas, coordinating travel schedules, etc.
  • Maintain a tidy and organized office space, ensuring a professional and productive atmosphere. Light housekeeping required to keep the kitchen and office space tidy.
  • Coordinate with Service Delivery representative to maintain office equipment ensuring that workspaces and meeting rooms have required equipment. Keep meeting rooms well stocked and clean.
  • Assist with shipping needs in the office.
  • Maintain a professional office environment to include assistance with office decor.
  • Manage parking program for in-office employees.
  • Receive and distribute or put away packages promptly. Check mail regularly and distribute appropriately.
  • Serve as the point of contact for office-related inquiries.
  • Maintain relationships with vendors, ensuring proper execution of contracted services.
  • Foster positive internal and external relationships through effective communication.
This role may require travel up to 5% of the time.

Education & Experience Requirements:
  • High School Diploma or GED Required. Bachelor's degree preferred
  • Minimum 1-2 years proven experience as an executive or office assistant, preferably in a fast-paced environment.
  • Exceptional organizational and multitasking abilities with the ability to pivot in the face of changing priorities.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office Suite and familiarity with office equipment.
  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company


Compensation:

For positions filled in the United States, the typical pay rate for this type of position is between $20-$25 per hour. Ranges are based on various factors including the labor market. job type, job level, internal equity, and budget. Exact offers will be determined by factors such as candidate's skills, qualifications, experience, and location.
